We are a national law firm with headquarters in Los Angeles and 11 offices across the country. We are seeking 2 new people to join our Chicago, LA, or DC offices. One opening is for a SENIOR MANAGER INFORMATION GOVERNANCE and the other opening is for a DIRECTOR, ENGAGEMENT & OPTIMIZATION.

Opportunity
The Senior Manager of Information Governance has a specialized focus and expertise in Information Governance (IG) risk and compliance issues. This position will be responsible for the information governance operations including physical and electronic records storage, file tracking and inventory, safekeeping, records centers, integration of records of lateral hires, managing standard folder title/root folder titles, information life cycle management, etc.. The role will have an understanding of global regulatory laws with which the firm must comply specific to records and information management. The Senior Manager of Information Governance will be responsible for developing procedures, policies, and programs to promote, monitor, maintain, and train on compliance with laws, local guidance, and firm policies. This role will provide guidance on how evolving technologies are used, including AI tools, and how data is stored or used. The Senior Manager of Information Governance will report to the Firm’s Associate General Counsel.

Key Responsibilities

• Develop goals and objectives for Operations in conjunction with IG strategic planning.
• Develop preliminary annual operating budgets and monitor monthly expenditures.
• Develop, implement and maintain systems and procedures for physical and electronic records storage, file tracking and inventory, and safekeeping.
• Develop, implement and manage processes and systems to manage the life cycle of physical and electronic files.
• Develop, implement and manage systems and procedures for the integration of information and records for lateral hires.
• Apply industry principles and theories of data protection, privacy and business confidentiality to the records and information management process in coordination with IS Security.
• Manage standard file titles for physical records in the RMS and root folders and optional folders in the DMS.
• Manage direct report workflow, as required.
• Develop and implement IG training programs for end users.
• Develop and maintain documentation of IG operations procedures.
• Understand all aspects of the Firm’s IG Policy and be able to articulate relative obligations to Firm stakeholders.
• Negotiate and recommend vendor contracts for records operations functions. Manage vendor relationships and analyze vendor relations specific to performance, contract compliance, and quality/accuracy controls to ensure business partner compliance with contract terms.
• Identify projects and coordinate resources to ensure successful completion of projects and achieve organizational goals and objectives.
• Manage records facilities ensuring adequate space and security. Includes preparation and maintenance of long-range space and equipment needs.
• Develop and maintain processes and services for digitizing information.
• Identify, develop, and maintain relationships to maximize support and accomplish organizational goals.
• Remain current in emerging technologies and trends to manage information assets; recommend appropriate changes to improve records functions.
• Provide day-to-day supervision of direct reports, ensure compliance with assigned work hours and monitor for compliance with all firm and department policies. Manage staffing coverage, review and process time logs/time off requests.
• Support business professional development and continued educational opportunities
• In collaboration with immediate supervisor and HR, participate in hiring, performance appraisals, counseling, other employee lifecycle events.
• Ad hoc projects as required.

Qualifications
• 10+ years direct applicable experience in the field (e.g., experience working in Records & Information Management as well as experience with one or more RIM enterprise technology solutions used for the management of both physical and electronic information, e.g., iManage Govern, HP WRM, ARM, FileSurf, LegalKey). Law firm experience strongly preferred.
• Experience with WorkSite.
• Bachelor’s degree in a related field; IS, Library Science, Records or associated discipline preferred.
• Minimum of 3+ years of management experience in relevant roles.
• Strong technical skills relevant to IG management and document management systems (RMS/DMS), including data mapping; data conversion; document properties and metadata management (classification, coding and security); data protection, privacy and business confidentiality; and bar code technology and hardware.
• Strong understanding of GARP (Generally Accepted Recordkeeping Principles) preferred.
• Certified Records Manager (CRM) credentials and/or Information Governance Professional (IGP) credentials preferred.
• Experience managing vendors, supplier process and vendor selection.
• Prior budget management experience.
• Demonstrated ability to deliver high quality work while maintaining a client service focus.
• Superior communication and interpersonal skills, including the ability to gather information from a broad range of sources and influence others to make changes.
• Ability to function in a fast-paced, service-oriented environment, prioritize multiple projects on a daily basis, adjust to shifting priorities, all with a “can-do” “roll up the sleeves” attitude.
• Strong planning, project management, analytical, organizational and problem-solving skills.
• Ability to work independently (self-motivated with proven ability to anticipate problems and move things forward with limited direction and varying deadlines) and as part of a team with a proactive and positive style that fosters collaborative working relationships.

The base annual pay range for this role is between $150,000-$185,000. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity. A full range of medical, financial and/or other benefits dependent on the position will also be offered. Ideally this person comes from a heavy records background ow was a national records manager.

We currently have an exciting opportunity for a Senior Director of Engagement & Optimization which will be part of the Practice Management team, reporting to the Firm’s Chief Financial Officer. The position is responsible for collaborating with Business Unit and Group Leaders as well as non-partner attorneys, consulting professionals and paralegals on facilitating communication, training/professional development, work assignment management and will also play a pivotal role in the Firm’s Summer Associate program. This position can be based out of our Los Angeles, New York or Washington D.C. offices.

Key Responsibilities
• Partner with Firm Management on developing and implementing non-partner attorney, consultant and paralegal communications.
• Liaise and partner with Business Professionals to develop and support non-partner associate, consultant and paralegal engagement programs and initiatives.
• Evaluate pipeline of non-partner, consultant and paralegal associate work opportunities and workload projections across all Business Units and support and develop a work assignment process to ensure effective utilization of resources; develop processes and procedures, as needed.
• Partner with Business Unit Leaders to ensure comprehensive understanding of the experience and capabilities across all relevant areas of practice of each non-partner attorney, consultant and paralegal to enhance client assignments and professional development, while ensuring effective utilization of resources.
• Partner with Business Unit Leaders to identify professional development and training needs for all non-partner attorneys, consultants and paralegals and ensure work assignments in line with development and needs. Interface with the Professional Development teams who will coordinate and collaborate with non-partner attorneys, consultants and paralegals as well as Business Unit Leaders to develop, facilitate and deliver appropriate training.
• Partner with Practice Management on workflow and utilization of non-partner attorneys, consultants and paralegals and collaborate with the Professional Development team on year-end review, compensation and advancement processes.
• Serve as Business Professional representative on Associate Leadership Committee.
• Lead the approval process for the hiring of, or replacement for, non-partner attorneys, consultants and paralegals to assess need, making recommendations to senior leaders on whether to proceed based on effective utilization of resources, anticipated workflow and other criteria and, upon the approval for hiring, collaborate with Practice Management, Strategic Growth and Professional Development colleagues, as appropriate, to determine annualization targets as well as levelling, compensation, and rates.
• Take an active role in the Summer Associate Program, including but not limited to, being the point person for the Summer Associates, Summer Chairs, Work Allocation Coordinators and Mentors; strategically plan the Summer Associate target numbers and interview all potential Summer Associates.
• Manage and provide hands-on leadership for the Engagement & Optimization team by providing work direction with clear performance expectations, developing goals and accountability measures, providing mentorship and fostering career growth, ensuring team members are fully equipped to execute strategic priorities effectively.
• Assist with additional projects as needed.

Qualifications
• JD degree preferred; Bachelor’s degree in Business, Organizational Development, or related field required.
• A minimum of ten years’ experience in a client-centered professional services environment, preferably a law firm.
• Ideal candidate will have strong business acumen, analytical and financial skills, professional development experience, and the ability to develop and implement operational processes and plans.
• Requires understanding of the levers critical to the successful operation of a client-centered professional services environment, preferably a law firm.
• Must have fluency with Excel, MS Word and PowerPoint.
• Superior communication and interpersonal skills, including the ability to gather information from a broad range of sources and to influence others to make changes.
• Strongly collaborative and a proactive communicator across functions and levels.
• Executive presence and polish, with the ability to build effective relationships with attorneys, consultants and paralegals and influence people at all levels, including Equity and other Partners and Business Professional leaders.
• Self-motivated with proven ability to anticipate problems and move things forward with limited direction.
• Ability to handle sensitive and confidential matters with discretion.
• Understand client service within a professional services organization, and is driven to exceed expectations.
• Demonstrated management and leadership experience.
• Ability to respond to multiple priorities and meet varying deadlines.

The base annual pay range for this role is between $250,000 - $300,000. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity. A full range of medical, financial and/or other benefits dependent on the position will also be offered. The Sr. Director, Engagement & Optimization is really someone who will oversee performance, productivity and professional development for associates. There is a billing and utilization component, and this person reports to the CFO. It is responsible for the attorney (legal) side of their business, but it needs someone who also understands the consulting side of their business and has a Director of consulting that reports to this role
