The Opportunity\n

Creating Dental Excellence is a growing, privately owned dental group seeking an experienced Director of Operations to lead the day-to-day business operations and performance of our five dental practices across the New York market.

\n


\n

Reporting directly to ownership, this individual will have broad responsibility for practice performance, revenue and collections, staffing, scheduling, hygiene and recall, patient reactivation, treatment follow-up, revenue cycle, marketing performance and operational execution.

\n


\n

This is a hands-on leadership position for someone who understands how successful dental practices actually operate.

\n

We are particularly interested in accomplished Dental Regional Managers, Regional Operations Managers, District Managers and Directors of Operations who have successfully managed multiple dental practices and are ready for broader responsibility and autonomy.

What You'll Own\n


Practice Performance & Financial Management\n

    \n
  • Oversee day-to-day business operations across five dental practices
  • \n

  • Own practice-level performance against production, collections, revenue and profitability targets
  • \n

  • Review operating and financial KPIs by location and identify performance gaps early
  • \n

  • Develop and execute corrective action plans for underperforming practices
  • \n

  • Monitor payroll, staffing levels, lab expenses, supplies and other controllable costs
  • \n

  • Understand the P&L of each practice and translate financial performance into operational action
  • \n

Hygiene, Recall & Patient Retention\n

    \n
  • Ensure every practice maintains an effective hygiene recall/recare program
  • \n

  • Monitor overdue hygiene patients, reappointment rates and hygiene capacity
  • \n

  • Develop and manage patient reactivation programs
  • \n

  • Ensure cancelled and no-show appointments receive timely follow-up
  • \n

  • Establish accountability for patient calls, texts, emails and letters
  • \n

  • Measure outreach based on appointments generated and patients returned to the practice
  • \n

Scheduling, Treatment & Growth\n

    \n
  • Monitor dentist and hygienist schedules and identify unused capacity
  • \n

  • Ensure cancellations and schedule openings are actively filled
  • \n

  • Monitor unscheduled treatment and treatment-plan follow-up
  • \n

  • Improve new-patient conversion, appointment show rates and case acceptance
  • \n

  • Identify opportunities to expand provider hours and practice capacity where supported by demand
  • \n

People & Leadership\n

    \n
  • Lead, coach and develop office managers and administrative teams
  • \n

  • Recruit, interview and coordinate hiring across the organization
  • \n

  • Monitor staffing levels, schedules, attendance, PTO, overtime and productivity
  • \n

  • Establish clear expectations and hold team members accountable for performance
  • \n

  • Address performance issues promptly and professionally
  • \n

  • Develop standardized onboarding, training and operating processes
  • \n

  • Build a pipeline of future managers and leaders as the organization grows
  • \n

Revenue Cycle\n

    \n
  • Monitor collections, accounts receivable, insurance aging, claims and patient balances
  • \n

  • Work with internal teams and outside RCM partners to resolve performance issues
  • \n

  • Ensure front-office teams consistently follow insurance, financial and collection protocols
  • \n

Marketing & New Patient Growth\n

    \n
  • Monitor marketing performance by practice and source
  • \n

  • Track leads, calls, appointments, show rates, treatment conversion and ROI
  • \n

  • Ensure new-patient inquiries are converted into scheduled and completed appointments
  • \n

  • Work with marketing partners to continuously improve practice-level results
  • \n

Operational Excellence\n

    \n
  • Standardize operating procedures across the group
  • \n

  • Conduct regular practice visits and operational audits
  • \n

  • Maintain weekly practice-level and consolidated operating scorecards
  • \n

  • Identify problems early and ensure corrective actions are completed
  • \n

  • Create a culture of accountability, ownership and continuous improvement
  • \n

What We're Looking For\n

    \n
  • Significant dental practice-management experience
  • \n

  • Multi-site dental operations experience strongly preferred
  • \n

  • Demonstrated success managing multiple dental practices simultaneously
  • \n

  • Strong understanding of dental KPIs and practice economics
  • \n

  • Experience managing office managers and front-office teams
  • \n

  • Strong knowledge of hygiene, recall/reactivation, scheduling, treatment-plan follow-up, insurance, collections and A/R
  • \n

  • Experience recruiting and managing dental staff
  • \n

  • Strong financial and analytical skills, including practice-level P&L management
  • \n

  • Ability to translate reports and data into operational action
  • \n

  • Familiarity with Dentrix, Dentrix Ascend or comparable dental practice-management systems
  • \n

  • Ability and willingness to travel and work on site regularly and every week among our New York practice locations: Cornwall, Yorktown Heights, Bronx, Stony Point, White Plains
  • \n

The Person We're Looking For\n


\n

We are looking for an operator—not simply an administrator.

\n

You should be the kind of leader who notices when hygiene production is declining, schedules have unnecessary openings, recall isn't being completed, collections are slowing, staffing costs are increasing or marketing leads aren't converting—and takes ownership of understanding why and fixing it.

\n


\n

You should be equally comfortable analyzing a practice P&L, coaching an office manager, interviewing a candidate, reviewing a recall program and walking into a practice to understand why its performance has changed.

\n


\n

Most importantly, you follow through and hold people accountable.

\n
