1 | SUMMARY OF FUNCTIONS:
Responsible for performing a variety of duties primarily supporting the Warranty area of our Service Department. This vital process and service involves the preparation, submission and recording of Warranty Claims. This role is a key link in insuring that our customers experience is positive.

2 | MAJOR DUTIES AND RESPONSIBILITIES:

  • This position is responsible for the preparation, coding and submission of all Manufacturers’ warranty claims in a timely manner.
  • Understands and ensures compliance with all manufacturers and vendor policies and warranty procedures and insures proper documentation on all claims. Also, assists the service department in answering phone calls when necessary.
  • Follows up on payment of outstanding claims, not to exceed 60 days.
  • Reviews warranty chargeback’s with service manager; resubmits rejected or underpaid claims if applicable with correct documentation.
  • Follows-up on parts that tested serviceable by the manufacturer with service manager.
  • Notifies customer immediately for payment if chargeback reflects a non-warrantable failure.
  • Keeps abreast of all warranty policy and product changes to maintain effectiveness in this role.
  • Provides warranty update information to service staff and technicians as needed.
  • Ensures that all warrantable repairs are documented, technicians’ comments are descriptive and precise and that the allotted time is noted prior to submission for closing.
  • Files and retains all warranty service records as required by the manufacturers and component suppliers.
  • Attend all Service Staff meetings as required.
  • Must be able to understand, communicate, and evaluate all manufacture Warranty guidelines, approval processes and policies.
  • Must have strong problem-solving skills and have good written and verbal communication skills. Working proficiency of Microsoft office and Outlook. Ideal.

  • Willing to perform all other related duties as assigned to support our dealership and our customer.

3 | ORGANIZATIONAL RELATIONSHIPS:
Reports directly to our Corporate Warranty Manager and directly support the dealerships Truck Service Manager. Able to support all other departments as needed to support our customers experience and meeting their expectations.
