Under general supervision of the Dir., Facilities & Administrative Service, ensures the efficient operation and maintenance of the organization’s facilities. Collaborates with Service Lines and various internal departments to assist with a range of responsibilities including managing facility operations, coordinating maintenance activities, supervising the Facilities Coordinator, and ensuring compliance with safety and regulatory standards. Instrumental in maintaining a safe, functional, and welcoming environment for our employees, clients, and visitors.
ESSENTIAL FUNCTIONS:
Provides leadership, supervision, and guidance to the Facilities Coordinator to ensure team effectiveness and productivity.
- Manages the Building Maintenance ticketing portal to ensure maintenance, repairs, utilities, janitorial, and other facilities-related service requests are satisfactorily resolved. Utilizes a systematic approach to record and track service requests for efficient management.
- Works[closely with vendors and contractors to ensure timely and cost-effective completion of projects. Source, vet, and manage relationships with a diverse array of vendors, ensuring they meet standards of quality and reliability.
- Reviews, validates, and approves vendor invoices, while also managing purchase requisitions.
- Takes decisive action on urgent facility issues, prioritizing safety and functionality.
- Conducts routine inspections of our corporate office to identify facility needs and execute maintenance plans to sustain optimal operational conditions.
- Collaborates and coordinates office moves, closures, renovations, and space reconfigurations as needed.
- Serves as the primary point of contact for facility-related issues and inquiries. Communicates regularly with internal stakeholders, including department heads, employees, and senior management, to provide updates and address concerns.
- Serves as a safety liaison and assists in the implementation of emergency preparedness plans, including evacuations, emergency response protocols and business continuity plans.
