East Detroit Primary Care is looking for a polished, dependable, and patient-centered Front Desk Coordinator to join our private family medical care practice. This role is an excellent fit for an experienced MEDICAL office professional with a minimum of three (3) years of front desk, patient registration, scheduling, insurance, and billing coordination experience who enjoys creating a welcoming and organized patient experience from the moment patients arrive.
Job Summary
As the Front Desk Coordinator, you will play a key role in supporting the daily flow of the practice. You will greet patients, manage appointment scheduling, answer and route calls, maintain accurate patient information, verify insurance, collect payments, and help ensure smooth communication between patients, Provider and the care team.
The ideal candidate is friendly, detailed-oriented, organized, discreet, and comfortable working with patient management and billing systems. Experience with the Aethena/Athena patient and billing platform is preferred.
What You'll Do
- Create a positive first impression by welcoming patients and visitors in a warm, professional, and confidential manner;
- Answer, screen, and route incoming calls while taking accurate messages and supporting timely follow-up.
- Schedule, confirm, reschedule, and cancel appointments while helping maintain efficient Provider schedules and patient flow.
- Check patients in and out, collect required forms, update demographics, scan documents, and maintain accurate patient records.
- Verify insurance eligibility, obtain insurance card information, collect co-pays and balances, and supporting billing-related workflows.
- Use Aethena/Athena, when applicable, to support patient registration, scheduling, insurance verification, payment posting support, claims follow-up support, and workflow tracking.
- Coordinate referrals, medical records requests, prior authorization paperwork, prescription refill messages, lab result communications, and Provider follow-up requests as directed.
- Keep the reception area and administrative workspace organized, professional, and prepared for daily practice needs.
- Maintain patient privacy and follow HIPAA, practice policies, and applicable healthcare office procedures at all times.
What You'll Bring
- Three (3) years or more experience in a medical front desk, medical receptionist, patient access, or medical office administrative role.
- Confidence handling scheduling, patient registration, insurance verification, payment collection, and billing coordination.
- Excellent phone etiquette, customer service, written communication, organization, and multi-tasking skills.
- A professional, calm, and patient-focused approach when working with patients, families, Providers, and outside offices.
- Comfort using electronic health records, patient portals, billing systems, phones, scanners, faxing, and standard office technology
Minimum Qualifications
- High School diploma or equivalent required, additional training in healthcare administration, medical office operation, or billing is preferred.
- Minimum of three (3) years of experience in a medical office, family medicine, primary care, or outpatient healthcare setting.
- Working knowledge of medical terminology, HIPAA requirements, insurance processes, referrals, authorizations, and patient billing basics.
- Demonstrated ability to maintain confidentiality, accuracy, punctuality, and professionalism in a patient-centered environment.
Preferred Qualifications
- Experience using Aethena/Athena patient and billing platform for registration, scheduling, insurance verification, billing workflow support, payment posting support, and claims follow-up support.
- Previous experience in a private family medicine, primary care, or small medical practice environment.
- Bilingual language skills are strongly preferred.
