Part-time Membership & Event Coordinator
The Hillsborough County Medical Association (HCMA) is a mission-driven non-profit advocacy organization for physicians in Hillsborough and surrounding counties.

Position Summary:
We are seeking a highly organized and detail-oriented Membership & Event Coordinator to support our growing membership base and ensure successful planning and execution of in-person events. This role is ideal for someone who enjoys managing logistics and data, communications, and relationships.
Key Responsibilities:
Membership Coordination
- Respond to member inquiries and provide support
- Maintain accurate membership records using our database (Wild Apricot)
- Communicate with large entities and hospitals for member updates
- Prepare dues statements, timely reports, and track renewals
- Assist with onboarding new members and help implement retention campaigns
Event Planning & Support
- Coordinate logistics for membership dinners and networking events
- Create invitations and event materials
- Work directly with the catering manager and arrange audio visual needs
- Manage event registration, communications, and vendor coordination
- Support on-site event execution and post-event follow-up
Administrative Support/Other
- Front desk coordinator
- Generate reports related to membership and event metrics
- Assist with coordination of annual fundraiser
- Collaborate with web host to keep website updated in a timely manner
Qualifications:
- 2+ years of experience in membership coordination, event planning, or nonprofit administration
- Strong organizational skills and attention to detail
- Adaptability and dependability
- Excellent communication skills
- Proficient in Microsoft Office, database software, and social media
- Comfortable working independently and collaboratively in a small office environment
