Job Description:

  • Provides front desk and administrative support services to the Military & Family Readiness Center (M&FRC) at Minot Air Force Base.
  • Performs Transition Assistance Program (TAP) data entry and records management in accordance with Air Force and DoD regulations.
  • Supports office automation, correspondence preparation, and document management functions.
  • Serves as primary records custodian and maintains official files in compliance with Air Force records management policies.
  • Ensures timely, accurate processing of administrative actions and customer inquiries.

Key Responsibilities:

  • Perform data entry into DoD TAP, AFFIRST, Access databases, and other authorized systems with high accuracy.
  • Prepare recurring and non-recurring correspondence, reports, emails, and memorandums.
  • Maintain office records, file plans, publications, and suspense tracking systems.
  • Screen calls and visitors, respond to non-technical inquiries, and provide follow-up within required timelines.
  • Manage incoming/outgoing mail and electronic communications.
  • Prepare classrooms for M&FRC classes and events (signage, equipment setup, materials preparation, cleanliness).
  • Maintain compliance with DAFI 36-3009 and applicable Air Force, Global Strike Command, and local policies.
  • Support monthly performance standards including accuracy thresholds and timeliness requirements.

Qualifications:

Citizenship: U.S. Citizenship

Education:

  • High school diploma required.
  • Associate degree in Business Administration, Office Management, or related field preferred.

Experience:

  • Minimum of two (2) years of relevant administrative experience supporting military, federal, or comparable organizational environments.
  • Experience with front desk operations and customer service in a professional setting preferred.
  • Experience supporting government programs or military personnel services is highly desirable.

Skills:

  • Proficiency in Microsoft Office (Word, Excel, Access, Outlook, Teams, SharePoint).
  • Strong written and verbal communication skills with demonstrated attention to grammar and formatting accuracy.
  • Excellent organizational skills and ability to manage multiple suspense dates.
  • Ability to work independently in a non-personal services environment.
  • Strong customer service skills with tact and professionalism.

Required DoD Systems, Tools, and Framework Experience:

  • Experience or familiarity with DoD Transition Assistance Program (TAP) systems.
  • Air Force Family Integrated Reporting and Statistical Tracking (AFFIRST) system (preferred).
  • Records management in accordance with Air Force Instructions (AFI 33-322 or successor guidance).
  • Understanding of DoD 5200.2-R and basic personnel security requirements.
  • Familiarity with TASS (Trusted Associate Sponsorship System) for CAC issuance (preferred).
