Job Description
The Project Coordinator role supports the successful delivery of software implementation and technology rollout projects by serving as the internal point of contact for day-to-day project activities. This position coordinates schedules, documentation, training, and stakeholder communications while partnering closely with internal teams and an external implementation consulting group. The role is ideal for a detail-oriented professional with experience in project coordination and a foundational understanding of contract management processes.
Responsibilities
- Coordinate day-to-day project activities by scheduling meetings, organizing calendars, and ensuring all key participants receive timely invitations and updates.
- Track project action items, follow up with stakeholders, and maintain accurate and up-to-date project documentation.
- Monitor project timelines, identify potential delays or risks, and promptly escalate issues to the appropriate project lead.
- Assist with coordinating testing and deployment activities, including scheduling sessions, tracking feedback, and following up on open items to ensure closure.
- Support logistics for on-site meetings by reserving meeting rooms, arranging hospitality, and ensuring necessary materials and equipment are available.
- Maintain organized records of project decisions, deliverables, and communications to support transparency and traceability.
- Serve as the internal point of contact for day-to-day project communications, routing questions and requests to the appropriate internal or external parties.
- Support the review of project deliverables by engaging the right internal stakeholders and ensuring feedback is collected, documented, and shared in a timely manner.
- Coordinate end-user training sessions, including scheduling, sending communications, and managing logistics for virtual or on-site training.
- Collaborate with the external implementation consultant to develop and adapt training materials that reflect the organization’s specific processes, terminology, and workflows.
- Act as a resource for end users during training and go-live phases by answering questions, documenting issues, and escalating concerns as needed.
- Support administrative and project management activities such as document control, project administration, and maintaining project tracking tools.
- Contribute to coordination of activities related to transportation, supply chain, third-party logistics, and shipping and receiving as they relate to project needs.
- Use Microsoft Excel and other Microsoft Office tools to manage project data, reports, and tracking documents.
- Help schedule and coordinate project-related meetings, including cross-functional and stakeholder review sessions.
Essential Skills
- At least 2 years of experience in a project coordination, administrative, or operations support role.
- Proven experience coordinating software implementation or technology rollout projects.
- Foundational understanding of contract management concepts and processes.
- Strong organizational skills with a high level of attention to detail.
- Clear and professional written and verbal communication skills.
- Proficiency with Microsoft Office Suite, including Microsoft Excel, and general project tracking tools.
- Experience with project coordination, project administration, and document control.
- Ability to schedule and manage meetings and coordinate multiple stakeholders.
- Comfort working in environments that involve transportation, supply chain, third-party logistics, and shipping and receiving activities when required.
Additional Skills & Qualifications
- Experience with Contract Lifecycle Management (CLM) platforms; Agiloft experience is a plus.
- Experience in a regulated industry such as medical devices, pharmaceutical, or healthcare.
- Experience developing or adapting training materials or user-facing documentation.
- Familiarity with Salesforce or experience working in a Salesforce-integrated environment.
- Exposure to contract management or legal operations functions.
- Background in administrative support within project management or technology-focused environments.
- Ability to collaborate effectively with external implementation consultants and internal stakeholders.
- Interest in working with new and innovative technologies, particularly in the context of complex, high-impact projects.

This is a Contract to Hire position based out of Plymouth, MN.
Pay and Benefits
The pay range for this position is $38.00 - $40.00/hr.
