Job Overview

Receptionist serves as the first point of contact for clientele entering our office. Clientele may have a range of backgrounds, ages, ethnicities, and cultures. Receptionist will work closely with legal team to ensure the seamless operation of the firm. Receptionist is mindful that they are the first impression of the firm, as they are the first face to be seen upon entering.

Responsibilities and Duties

General Office Management

  • Accept invoices, documentation, or deliveries and place in appropriate bin or area
  • Check trash cans at reception area and kitchen before end of shift
  • Greet, welcome, and assist all walk-in traffic
  • Monitor and maintain a list of office supplies needed for the next purchasing day
  • Office upkeep duties (Will discuss further at interview.)
  • Displays professionalism, a positive attitude, and a strong work ethic. Helps to maintain and enhance a positive image and high business ethics when interfacing with Associates and clients

Law

  • Answer phone calls from clients, answer questions and/or pass to appropriate person
  • Create contracts for new clients
  • Create, maintain, and close files
  • Manage filing systems with established spreadsheets
  • Respond to inquiries via phone
  • Take payments in person and over the phone
  • Update and maintain lawyer’s schedule – consultations and court calendar
  • Process clients coming into the firm for court internet-based hearing
  • Communicate with clients prior to court appearances
  • Confirm all appointments
  • Various errands to include going to bank, sending mail, filing at the court, etc.
  • Assist lawyer and legal assistant with other tasks

Job Skills and Qualifications

Required

  • High School diploma or GED
  • Minimum of 1 year experience in administrative/reception role
  • Proficient in English and Spanish (reading, writing, speaking, translating)

· Ability to pass background checks

  • Ability to work in a fast-paced environment at times
  • Can work with minimal guidance, self-starter
  • Cheery demeanor
  • Excellent written and verbal communication skills
  • Knowledge of San Antonio and reliable transportation
  • Strong knowledge of G Suite (Gmail, Calendar, Drive)
  • Strong knowledge of Microsoft Office
  • Organized

Hours

40-hour work week. M-F, 9a-6p, with 1-hour lunch
