Legal Administrative Assistant
Clifton Budd & DeMaria, LLP, a management-side labor and employment law firm located in Manhattan, NY, seeks a team player who is flexible, reliable, resourceful, detail-oriented and organized to support firm attorneys in a pooled support structure. The position requires a minimum of three years prior relevant law firm experience. The position is an in-person office position with a Monday through Friday, 9:30 a.m. to 5:30 p.m. work schedule.
Required Skills:
- Strong organizational skills, and the ability to prioritize work, to manage workflow and to maintain positive working relationships with attorneys and co-workers.
- Excellent verbal and written communication skills.
- Strong proofreading skills with strict attention to detail, spelling and grammar.
- Proficiency with Word, Outlook, Excel, and PowerPoint including styling documents, generating tables of contents and authorities, bookmarking, tracking changes and document comparison in Word and facility with creating and editing Excel spreadsheets.
- Proficiency with Adobe Acrobat, including converting to Word, editing, securely redacting, organizing pages, and producing final documents.
- Experience with using video conferencing applications such as Zoom, GoTo Meeting, Microsoft Teams and WebEx and scheduling these conferences via Outlook Calendar invites.
- Ability to create documents, correspondence, and reports from rough drafts, dictation, or recordings.
- Experience with NYSCEF, PACER, and Westlaw.
- Familiarity with New York and Federal court rules and procedures relating to document format and file types, legal forms, ECF, and other court filing procedures.
- Familiarity with Bluebook citation.
Responsibilities:
- Type, format, edit, and proofread legal and business documents.
- Assist with preparation of court filings (electronic filings and traditional filings), including creating table of authorities and table of contents, and deliver the wide range of usual legal secretarial services.
- Schedule meetings, depositions, and court appearances, deal professionally with clients, courts, opposing counsel, court reporters and other legal support providers, and government agencies and authorities as directed.
- Manage various deadlines and dates to assist attorneys.
- Provide comprehensive administrative support to firm attorneys, including transcription, document production, document redaction, assistance with time entry and new client file opening.
- File maintenance (both paper and electronic).
- Work closely with administrative support staff (file clerk, receptionist, office services, etc.) and provide backup to reception.
- Assist with overflow and special projects and contribute to firm-wide objectives.
Compensation:
- The salary range for this position is $75,000 – $85,000, commensurate with experience.
