Project Management Office (PMO) Office Roles and Responsibilities
We are seeking a motivated and detail-oriented Project Management Office to join our team. The PMO Manager is responsible for leading the successful execution, oversight, and delivery of mechanical, electrical, and plumbing (MEP) engineering projects. The PMO Manager will maintain technical quality and coordination across disciplines and act as the bridge between executive leadership, engineering teams, and clients, overseeing the entire lifecycle of MEP projects from initiation to closeout. This role requires a well-organized and strategic leader with strong communication skills and a commitment to consistency and excellence in project execution. The ideal candidate will drive the development and enforcement of standardized project management practices across the organization while fostering a collaborative, accountable, and results-driven work environment.
Key Responsibilities:
1. PMO Leadership and Strategy:
- Develop and implement PMO processes, standards, policies, and best practices specifically tailored for MEP engineering projects.
- Lead and guide project managers and cross-functional teams in applying consistent project management methodologies that drive quality, predictability, and efficiency across all phases of project delivery.
- Evaluate and enhance existing project management tools, templates, and workflows, identifying opportunities to improve speed, scalability, and resource alignment.
2. Project Oversight and Coordination:
- Supervise end-to-end project lifecycle activitiesincluding planning, execution, quality control, on-time delivery, and close-outacross multiple concurrent MEP projects.
- Monitor key performance indicators (KPIs), including project timelines, budget adherence, quality standards, and resource utilization.
- Proactively identify and assess project risks and issues; lead development of mitigation strategies and ensure timely resolution through structured.
3. Resource Management:
- Allocate appropriate resources, including personnel and equipment, to ensure optimal use across multiple projects.
- Coordinate closely with lead Engineering Associates, Finance, and HR to manage resource forecasting and capacity planning.
4. Reporting and Documentation:
- Establish reporting systems and dashboards to track and communicate project progress, status, risks, and issues to senior management and stakeholders.
- Maintain comprehensive project documentation and ensure compliance with internal standards, external regulations, and client specifications.
5. Stakeholder Management:
- Serve as a key point of contact for clients, stakeholders, and internal teams, providing regular updates and promptly addressing concerns or changes.
- Foster positive relationships with clients, ensuring satisfaction and facilitating future business opportunities.
6. Team Development:
- Mentor, train, and develop project management staff, fostering a culture of continuous learning and professional growth.
- Lead internal PM roundtables, workshops, and onboarding for new PM hires.
- Serve as a key point of contact for clients, stakeholders, and internal teams, providing regular updates and promptly addressing concerns or changes.
- Foster positive relationships with clients, ensuring satisfaction and facilitating future business opportunities.
Conduct performance reviews of PMs and provide constructive feedback to drive team improvement and effectiveness.
Job Qualifications and skills
Education:
- Bachelor's degree in engineering, Project Management, Construction Management, or related discipline.
- PMP (Project Management Professional) Certification is required.
Experience:
- 8+ years of proven experience in project management roles, with at least 3 years managing a PMO or similar leadership position within an MEP or engineering-focused organization.
- Demonstrated experience managing complex MEP projects from inception through completion.
Skills & Competencies:
- Expert knowledge of project management methodologies, frameworks, and tools that have been proven to manage and track budgets, schedules, and KPIs.
- Strong technical understanding of MEP engineering concepts and practices.
- Exceptional organizational, analytical, and problem-solving abilities.
- Outstanding communication and interpersonal skills with the ability to influence, lead, and negotiate effectively.
- Proactive approach with a commitment to achieving project excellence and organizational goals.
Working Environment:
- Office-based role with occasional site visits as required.
- Collaborative team environment within a fast-paced, dynamic engineering firm.
