About the Position

This position is responsible for creating and ensuring a spectacular Member experience at Grey Oaks. The Membership Coordinator should be a hospitality-driven professional with at least 2 years of experience in a club membership setting, who is passionate about member engagement and aspires to grow into a future Membership Director.

The Membership Coordinator plays a vital role in enhancing the overall member experience, supporting membership sales, conducting club tours, and executing member service initiatives. This individual will work closely with the Membership Director to ensure that all interactions reflect the club’s high standards of service and hospitality.

As with all positions, the position will continually exemplify and promote the core values, mission and culture of the Grey Oaks Country Club team.

This is a salaried position (Tuesday – Saturday)

This position reports to the Director of Membership

Considered one of the premier Country Clubs in Florida, Grey Oaks opened in 1993 and encompasses the Grey Oaks and Estuary communities, along with 54 holes of championship golf. The Club's facilities include a 63,000-square-foot east clubhouse, 12,000-square-foot golf shop, golf performance center, 30,000-square-foot wellness center, sports center, and the pool cafe, a 22,000-square-foot complex with indoor and outdoor dining overlooking an expansive resort-style pool with a wading entrance, waterfall, and lap lanes. You are an exceptionally outgoing and personable professional with a background in private clubs and hospitality. You can multi-task and effectively communicate with all types of people, from potential members to Board Members. You are detail-oriented, organized and highly proactive. You understand that service is at the heart of your job.

You understand and live by the concept of being a "team player," making sure that collaboration is essential to your success, as well as the success of those you work with. Your communications skills and time management skills are stellar, and you thrive in an atmosphere of variety and multiple challenges.

Requirements:

Primary Responsibilities

  • Serve as a first point of contact for member inquiries and assist with all aspects of membership engagement.
  • Conduct engaging and informative Club tours for prospective members and employee candidates.
  • Support new members onboarding by coordinating introductions, communications, and orientation efforts.
  • Maintain updated, accurate member records and contact databases.
  • Assist with planning and executing new member events and programs designed to foster connection and community.
  • Assist in coordinating club-sponsored charitable initiatives and community outreach efforts.
  • Support the Club’s Name Recognition initiative to promote personalized member service.
  • Ensure that all membership materials, collateral, and communications are current, well-branded, and professionally presented.
  • Contribute to membership-related marketing efforts, both digital and print.
  • Provide administrative support and take on special projects assigned by senior leadership and the Board of Directors.
  • Observe safety and security procedures and use equipment and materials properly and ensures that we provide a safe workplace for our team.

Education / Experience

  • Experience: Minimum of 2 years in a private club membership or guest services role
  • Bachelor’s degree preferred but not required
  • Outstanding communication, attention to detail, and ability to multitask in a dynamic environment
  • Exceptionally friendly, hospitable, and professional demeanor; thrives in social settings
  • Strong collaborator with a willingness to support and be supported by colleagues across departments
  • Willingness to work evenings, weekends, and holidays as needed
