The HIM Supervisor oversees the daily operations of the hospital’s Health Information Management department and provides direct supervision to approximately 20 employees. This role ensures patient health information is managed accurately, efficiently, securely, and in compliance with regulatory and hospital standards.
The Supervisor is responsible for staff performance, workflow management, productivity, quality, training, and process improvement while partnering with clinical, administrative, compliance, and revenue cycle teams.
Key Responsibilities
- Supervise approximately 20 HIM employees, including scheduling, workload distribution, coaching, training, performance management, and attendance.
- Monitor staff productivity, quality, turnaround times, and departmental service levels.
- Manage daily HIM workflows, including medical record completion, chart analysis, document scanning/indexing, record retrieval, Release of Information (ROI), and physician documentation follow-up.
- Monitor work queues and backlogs and adjust staffing or priorities to meet departmental goals.
- Conduct employee performance reviews, provide ongoing feedback, and address performance concerns.
- Ensure the confidentiality, accuracy, integrity, and security of patient health information.
- Maintain compliance with HIPAA, hospital policies, record retention requirements, and applicable regulatory standards.
- Perform quality audits and identify opportunities to improve accuracy, efficiency, and workflow.
- Track and report department KPIs, including productivity, quality, turnaround time, and backlog.
- Serve as an escalation point for complex medical record, workflow, and customer-service issues.
- Collaborate with physicians, nursing, compliance, IT, revenue cycle, patient access, and other hospital departments.
- Assist HIM leadership with policies, procedures, department goals, audits, and operational initiatives.
Qualifications
- Associate or bachelor’s degree in Health Information Management, Health Information Technology, Healthcare Administration, or related field preferred.
- RHIA or RHIT certification preferred.
- 3–5+ years of HIM/medical records experience, preferably within an acute-care hospital.
- Previous HIM supervisory or management experience, ideally overseeing 15–20+ employees.
- Strong knowledge of HIM operations, HIPAA/privacy requirements, medical record standards, and electronic health records.
- Experience managing productivity metrics, employee performance, quality standards, and workflow.
- Strong leadership, communication, problem-solving, and organizational skills.
- Experience with Epic, Oracle Health/Cerner, or similar EHR platforms preferred.
