Responsibilities

  • Provide administrative and legal support to attorneys handling commercial real estate and business transactions.
  • Draft, edit, proofread, and finalize contracts, leases, closing documents, financing documents, and other legal materials.
  • Assist with real estate closings by coordinating checklists, signatures, due diligence, and post-closing documents.
  • Communicate with clients, lenders, title companies, municipalities, and other transaction stakeholders.
  • Support real estate acquisitions, leasing, development, financing, construction, and related corporate matters.
  • Help manage land use, zoning, environmental, and municipal approval processes.
  • Organize and maintain client files, transaction records, and closing documents.
  • Manage calendars, deadlines, meetings, travel arrangements, and administrative tasks.
  • Process billing, expense reports, engagement letters, conflict checks, and matter administration.
  • Prepare electronic closing binders and perform document management tasks.
  • Maintain professionalism, confidentiality, and excellent client service.

Requirements

  • 5+ years of legal assistant, legal secretary, or similar law firm experience, preferably in commercial real estate or transactional law.
  • Paralegal certificate and/or bachelor’s degree preferred.
  • Experience supporting attorneys in a mid-sized or large law firm.
  • Knowledge of commercial real estate transactions, development, leasing, financing, and closings.
  • Experience working with lenders, title companies, municipalities, consultants, and other third parties.
  • Strong drafting, proofreading, organizational, and multitasking skills.
  • Proficiency in Microsoft Office, PDF tools, document management systems, and legal workflow software.
  • Familiarity with New York real estate practice preferred; Connecticut experience is a plus.
  • Excellent communication skills, attention to detail, discretion, and ability to work independently.
