Job Description

We are seeking a dedicated Assistant Project Manager to join our team and assist in the coordination and management of mechanical projects, including HVAC, plumbing, and piping. This role involves supporting project planning and execution, documentation, field support, financial management, and client communication.

Responsibilities

  • Assist Project Managers in planning and managing mechanical project scopes.
  • Track project schedules, manpower forecasts, and material deliveries.
  • Coordinate with subcontractors, vendors, and internal teams to ensure smooth workflow.
  • Support procurement of equipment, materials, and long-lead items.
  • Prepare and process RFIs, submittals, change orders, meeting minutes, and other project documents.
  • Maintain organized project files and logs using company systems such as Procore and BIM/VDC coordination tools.
  • Update cost reports, labor tracking, and progress logs.
  • Assist with jobsite walks and coordination meetings to understand field progress and challenges.
  • Work with the Superintendent and foremen to ensure mechanical installations follow drawings, specifications, and quality standards.
  • Help coordinate inspections, testing, and QA/QC documentation.
  • Support project budgeting, cost controls, and forecasting.
  • Review vendor invoices, track purchase orders, and assist with monthly billing packages.
  • Monitor material costs, equipment rentals, and labor budgets.
  • Participate in OAC meetings and internal coordination meetings.
  • Communicate updates, schedule impacts, and required actions with the PM and project stakeholders.
  • Build strong relationships with clients, vendors, and field personnel, reflecting integrity and professionalism.

Essential Skills

  • Proficiency in Microsoft Office and familiarity with the RFI, submittal, and change order processes.
  • Bachelor's Degree in Construction Management or Business.
  • 1-2 years of experience (including co-op and internship experience).
  • Strong communication skills and initiative.
  • Experience in construction management, mechanical systems, and project coordination.

Additional Skills & Qualifications

  • Background in mechanical contracting is preferred.

Work Environment

This position is based onsite in East Lyme, CT, supporting Pfizer projects, with occasional onsite visits as needed. The role is office-based but involves collaboration with field teams. Job Type & Location

This is a Permanent position based out of East Lyme, CT.

Pay and Benefits

The pay range for this position is $55000.00 - $65000.00/yr.
