Position Overview:
The Legal Secretary plays a critical role in supporting the attorneys and legal team by managing various administrative and clerical tasks. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple responsibilities simultaneously. The Legal Secretary ensures smooth operations within the office and helps maintain efficient case management by assisting with filing, client communications, scheduling, and document preparation.

Key Responsibilities:

General Administrative Support:

  • Type and format letters, pleadings, discovery, memos, and other documents as requested by attorneys.
  • File pleadings with the court through mail and e-filing.
  • Notarize and witness documents and pleadings.
  • Arrange service of process on parties and witnesses, tracking progress to ensure timely service.
  • Communicate with the court, other counsel, clients, and expert witnesses.
  • Assist attorneys with scheduling issues, including depositions and court hearings.
  • Reserve court reporters and video reporters for depositions.
  • Handle mail-related matters, including scanning and saving documents in World Dox.
  • Organize and maintain paper files, ensuring proper record-keeping.
  • Assist in preparing and managing closed files for storage and retrieval.
  • Manage phone backups as scheduled and as needed.
  • Adhere to checklist items assigned per Neos Case Checklists and update required information.
  • Enter case-related information in Neos per Cheat Sheets.
  • Schedule attorney and client travel, medical evaluations, and forensic photography as needed.

Client and Case Management:

  • Communicate with clients to confirm appointments, meetings, and hearings.
  • Collaborate with the pre-litigation and litigation teams to build client files and prepare settlement demands.
  • Assist in drafting and preparing discovery requests and settlement demands.
  • Finalize and file Complaints with the court upon attorney review.
  • Prepare Initial Disclosures and assist with discovery requests.
  • Manage lien files and update lien information as necessary.
  • Submit case expenses for payment processing.
  • Attend firm-wide meetings and collaborate with colleagues on case and office-related tasks.

Pre-Litigation Support:

  • Work with Pre-Litigation Attorney, Paralegals, and Case Managers to prepare client files for litigation.
  • Gather necessary information and documents for case handoff to litigation teams.
  • Communicate with clients as per checklists to ensure all information is gathered and complete.

Key Performance Indicators (KPIs):

  • Meet or exceed KPIs set by Litigation Attorneys and the COO, including document preparation, client communication, and case management efficiency.

Minimum Qualifications:

  • Strong organizational, typing, and computer skills, including proficiency in MS Word.
  • Familiarity with Neos Case Management and Dashboards.
  • Serve as a Notary Public.
  • Excellent written and verbal communication skills.
  • Effective problem-solving abilities and attention to detail.
  • Strong client service skills, including compassion and empathy.
  • Ability to both follow instructions and work independently.
  • Professional demeanor and appearance.
  • Ability to work effectively in a team-oriented work environment.
  • Willingness to learn and become proficient in new software and technologies.

Schedule:

  • Monday to Friday
