Job Summary:
We are seeking a skilled Legal Administrative Assistant to support our Community Associations practice. The ideal candidate will have experience supporting attorneys in a litigation-focused practice, with a strong emphasis on document preparation, electronic court filings, and administrative efficiency. Candidates should be adept at working in a fast-paced environment and able to manage competing priorities with attention to detail.
This role requires excellent organizational skills and a strong ability to manage legal and administrative responsibilities, including document formatting, billing, scheduling, and communication with clients and courts.
Key Responsibilities:
- Provide administrative support to attorneys within the Community Associations Practice Group, including calendar management and correspondence handling.
- Prepare, edit, and format legal documents, contracts, agreements, pleadings, and correspondence.
- Manage and track deadlines, ensuring timely filings and submissions.
- Provide support with electronic court filings at the federal and state levels.
- Maintain, organize, and manage case files, client records, and other legal documents.
- Coordinate the execution of legal documents, obtaining signatures, notarization, and filing as required.
- Assist with the monthly billing process, including time entry and reconciliation of attorney hours.
- Track and manage administrative items such as bar dues, continuing legal education (CLE) compliance, and attorney expense reimbursements.
- Schedule meetings, organize team calendars, and occasionally assist with booking hotel reservations and travel logistics.
- Serve as a liaison between attorneys, clients, courts, and other stakeholders.
- Maintain a high level of confidentiality regarding all sensitive legal and client matters.
- Collaborate with other administrative staff and legal professionals to ensure smooth workflow and efficiency.
Skills and Abilities:
- Strong administrative and organizational skills, with the ability to manage multiple deadlines.
- Excellent communication and interpersonal skills to liaise with attorneys, clients, and courts.
- Proficiency in Microsoft Word, especially in formatting complex legal documents.
- Familiarity with litigation pleadings and formatting requirements.
- Proficiency with electronic court filing systems (e.g., PACER, state court portals).
- Ability to maintain confidentiality and handle sensitive information.
- Proactive problem-solving skills and the ability to work independently and as part of a team.
- Proficiency with Microsoft Office Suite and legal document management software.
- Ability to create and maintain an organized electronic and paper filing system.
Education and Experience:
- Bachelor’s degree preferred, but high school diploma accepted with some college or equivalent work experience.
- 3+ years of experience in a law firm or legal department is required.
- Experience communicating with courts and familiarity with court procedures is highly preferred.
- Experience in community associations law is a plus.
