The Mailroom Associate is responsible for managing all incoming and outgoing mail and packages, ensuring timely processing, accurate delivery, and excellent customer service. This role supports daily mailroom operations including sorting, tracking, and distribution of courier, USPS, and interoffice mail. Key Responsibilities
<ul>
<li>Receive incoming mail and packages from USPS, FedEx, UPS, and messenger services; sign for express, registered, and certified items.</li>
<li>Sort all incoming mail, separate checks for member delivery, and organize remaining mail into assigned folders or cabinets for pickup.</li>
<li>Process incoming courier packages using the Brynka Internal Tracking System; label, log, and place items on racks for member pickup.</li>
<li>Notify members of incoming messenger packages and coordinate retrieval.</li>
<li>Physically deliver mail and courier packages by cart, dolly, or hand truck when required by select members.</li>
<li>Collect and process all outgoing mail and parcels; prepare USPS, UPS, and FedEx packages for pickup.</li>
<li>Process outgoing UPS shipments through the Brynka Shipping System and stage for carrier pickup.</li>
<li>Receive and hold outgoing messenger items for pickup and coordinate with members for large item storage and retrieval.</li>
<li>Maintain organized mailroom operations, ensuring all packages and mail are properly logged, tracked, and distributed.</li>
<li>Respond to member emails and inquiries regarding mail and package status in a timely and professional manner.</li>
<li>Provide exceptional customer service and maintain positive relationships with all clients and team members.</li>
<li>Send routine email notifications to members reminding them to retrieve mail or packages.</li>
<li>Perform additional mailroom duties as assigned to support site operations.</li>

Qualifications

The core mission of the Mail and Book Clerk for Outreach Inc. is to provide our customers with promotional postcard mailings on a specific date and to addresses as dictated by the customer, while conforming to all USPS addressing and mailing presentation requirements. This position also exists to provide publishers with accurate packing and labeling of book orders. To provide Outreach with the quick and efficient delivery of raw materials, components, completed mailers, or equipment to any number of locations within the greater Colorado Springs or Denver metro areas. Daily consistent delivery of mail to the Colorado Springs post office may be required. 
 
ESSENTIAL DUTIES:
<ul>
<li>List Preparation: Receives mail lists and formats, sorts, and prepares data for the Production Team, and data entry for order records. </li>
<li>Mail Sortation: Checking in cards, packing samples, sorting cards into appropriate bundles, strapping bundles, and weighing and recording orders to prepare for carrier pickup or Outreach transportation to the post office.</li>
<li>Final Mailing Preparation: Organizing by shipping dates, weighing and wrapping pallets, preparing and tagging boxes, organizing boxes into appropriate postal cages, and securing completed cages into the transport vehicle. </li>
<li>Driving: Using the 15’ box truck (occasionally company van) to deliver finished mail to the post office and to make pickups and deliveries to various vendors and companies. Delivering shipments to the post office will require unloading cages with an electric pallet jack.</li>
<li>Vehicle Awareness: Maintain the daily vehicle checklist and mileage logs, and be aware of any potential vehicle damage or service needs, and report those to your manager. Fueling the vehicles and plugging them in during the winter months is expected. </li>
<li>Book Boxing and Organization: Organizing book orders with appropriate box sizes and quantities based on each order, checking book quality before boxing, recording necessary weights and quantities, and labeling orders. Preparing orders for transportation to other Outreach locations or palletising orders for freight pickup. </li>
