The HR Assistant supports the Human Resources Department by managing administrative processes, maintaining HR systems and documentation, and assisting with audits, onboarding, compliance, and employee support. This role requires strong attention to detail, confidentiality, and the ability to manage multiple projects while ensuring HR operations run smoothly.
 
WHAT YOU WILL BE DOING (ESSENTIAL DUTIES)…
<ul>
<li>Responding to staff inquiries regarding HR policies, employee benefits, and other HR-related matters</li>
<li>Partners with employees and management to communicate various human resource policies, procedures, laws, standards and other government regulations</li>
<li>Assisting in the planning of company events</li>
<li>Organize and manage the review and updating of employee data and reports</li>
<li>Coordinate administrative steps of onboarding and offboarding, ensuring accuracy and timely completion.</li>
<li>Maintain HR records and systems, including updates to employee data and reporting structures.</li>
<li>Support audits and compliance reviews by preparing reports, verifying documentation, and ensuring records are current.</li>
<li>Monitor HR workflows and recommend process improvements to increase efficiency and consistency.</li>
<li>Provide first-level HR support by responding to employee inquiries and directing them to appropriate resources.</li>
<li>Assist with benefits and payroll administration, including data entry, updates, and vendor coordination.</li>
<li>Support workplace health and safety processes, ensuring proper documentation and communication of requirements.</li>
<li>Assist HR leadership with projects, events, and initiatives that enhance employee engagement and organizational effectiveness.</li>

Requirements:
WHAT WE EXPECT OF YOU…

<li>Bachelor’s degree in human resources, Business Administration, or related field (or in progress, with graduation expected within first year.)</li>
<li>Prior HR internship or related administrative experience preferred.</li>
<li>Experience with HRIS or payroll systems (such as Paylocity/ADP) preferred.</li>
<li>Coursework or exposure to HR compliance, employment law, or organizational behavior strongly desired.</li>
<li>Able to demonstrate professional work ethic</li>
<li>Outstanding written and verbal communication skills</li>
<li>Good interpersonal and organizational skills</li>
<li>Proficiency in all Microsoft Office applications.</li>

The Hawaii MHS Administrative will be responsible for performing administrative tasks and services to support the operations of WinnCompanies Military Housing Services HR function
Primary Responsibilities:
<ul>
<li>Support HRIS functions in data entry and personnel file maintenance</li>
<li>Respond to HR Help Desk tickets. Direct employees to relevant Human Resource information, assist with password resets, and/or refer to the correct departmental resource.</li>
<li>Temporary employee set-up – tracking temporary hire need, setting up onboarding, and coordinating exit or temp-to-hire placements</li>
<li>Base pass set-up for new hires, renewals for current employees, and liaison for contractor base access and renewals</li>
<li>Provide miscellaneous talent acquisition and onboarding support including but not limited to onboarding program guidance, monitoring onboarding progress, and new hire checklist completion</li>
<li>Perform, monitor, and track a variety of data audits and communicate discrepancies to appropriate parties. May include but is not limited to: Handbook and Arbitration completion, systems user accounts, Helpdesk ticketing and response times, and Employee handbook updates</li>
<li>Provide administrative support to various HR projects, including WinnSkills360 training tracking and crediting, supply ordering, updating communication boards in HR office and on ADP home page, along with other initiatives as needed</li>
<li>Assist with new employee onboarding (NEO), including preparing new employee packets for first day, creating and posting new employee bios, preparing new employee bags for monthly NEO training, set-up and break-down of conference room, ordering lunch for NEO and other HR training, assist with ensuring NEO stays to schedule</li>
<li>Answer telephone, screen and direct calls. Provide information to callers as needed</li>
<li>Greet and direct walk-in visitors and customers</li>
<li>Maintain inventory of uniform closet, distribute uniforms as needed</li>
<li>Create and receive purchase orders monthly</li>

Minimum Requirements:

<li>High School diploma or GED required, associates degree preferred</li>

<li>Experience with computer systems required, including Outlook, Word, Excel, PowerPoint and other web-based applications</li>
