SCOPE OF RESPONSIBILITY: Under the direction of the Program of Distinction Coordinator, performs a variety of administrative and staff support duties for the School of Aquaculture, which requires a range of skills and knowledge of organizational policies and procedures. Assists and directs visitors, and resolves administrative inquiries; composes, edits, and proofreads correspondence and reports, and prepares a range of administrative documents some of which are of a confidential or sensitive nature.&nbsp;&nbsp;
ESSENTIAL JOB FUNCTIONS:&nbsp;&nbsp;
Serves as the front desk receptionist for the Aquaculture Research Center. Provides administrative/secretarial support for the department/division such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries.&nbsp;
Operates personal computer to compose and edit correspondence and/or memoranda from dictation, verbal direction, or from knowledge of established department/division policies; may prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings.&nbsp;
Maintains a calendar of scheduled tours, visits, and/or other similar activities for the Aquaculture Research Center; to include coordinating with other staff to ensure tours, visitor and records are complete and updated. Maintains a sign in log.&nbsp;&nbsp;
Maintains, organizes, and schedules use of conference room.&nbsp;&nbsp;
Assists POD Coordinator in entering requisitions and submitting travel requests and vouchers for faculty, staff, and graduate students.&nbsp;&nbsp;
Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data and performs routine analyses and calculations in the processing of data for recurring internal reports.&nbsp;
Sorts, screens, reviews, and distributes incoming and outgoing mail; composes, prepares, or ensures timely responses to a variety of written inquiries. Maintains standing orders for UPS&nbsp;
Maintains and tracks balance of standing order with Staples. Monitors supplies, assesses needs, and submits orders to POD coordinator for placing.&nbsp;&nbsp;
Performs miscellaneous job-related duties as assigned.&nbsp;
QUALIFICATIONS: High school diploma or GED with 1 to 3 years experience directly related to the duties and responsibilities specified.&nbsp;&nbsp;

RECEPTIONIST POSITION DESCRIPTION
SUMMARY
The position of Receptionist is responsible for performing customer reception activities; performs switchboard operations; fielding calls, answers questions or inquiries of a general nature; determines appropriate direction for business inquiries; issues messages; performs routine clerical duties as required.
Assures compliance with all Bank policies and procedures, as well as, all applicable state and federal banking regulations.
ESSENTIAL DUTIES

<li>Answers telephones; handles routine inquiries and service issues; routes calls to appropriate individuals; takes and relays messages via e-mail or other route.</li>
</ol>

<li>Acts as Operations Center receptionist; greets and screens visitors before admittance into secure area and informs staff of visitors’ arrival.</li>
</ol>
<ol>
<li>Performs a wide variety of routine clerical duties relative to Bank operations; types routine reports, forms and lists; resolves routine problems or complaints; stuffs envelopes; files checks and statements; orders repair and service of telephone or other related equipment.</li>
</ol>

<li>Operates computer terminal or personal computer to input and process data.</li>
</ol>
<ol>

The position of Receptionist I performs duties specific to the position and other functions as assigned.
SUPERVISORY RESPONSIBILITY
The position of Receptionist I is not responsible for the supervision of any employee(s).
ENVIRONMENT AND PHYSICAL ACTIVITY
The incumbent is in a confined office-type setting. 
The incumbent in the course of performing this position spends time writing, typing, speaking, listening, lifting (up to 25 pounds), driving, carrying, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, squatting, kneeling and reaching.
The incumbent for this position may operate any or all of the following: telephone, cellular telephone, personal digital assistant (PDA) and/or Blackberry, copy and fax machines, adding machine (calculator), scanner and image systems, scanning equipment, encoder, typewriter, computer terminal, laptop computer, personal computer and related printers, or other equipment as directed.

MINIMUM REQUIREMENTS

<li>Skills in operating telephone switchboard equipment and a pleasant speaking voice.</li>

<li>Basic skills in computer terminal and personal computer operation; mainframe computer system; and word processing and spreadsheet software.</li>
</ul>

<li>Basic typing skills to meet production needs of the position.</li>

<li>Basic math skills; calculate interest and balance accounts; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors; compute rate, ratio and percent.</li>

<li>Effective verbal, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees.</li>

Job Duties:
Perform general clerical duties including, but not limited to answering phones, filing, copies, scanning, mailing, preparing memos and letters.
Able to operate a multi-line telephone system
Greet Tenants/Visitors and show offices at the various nearby properties
Support staff with any additional assigned duties
Uphold the highest level of confidentiality and discretion when handling sensitive company and personal information
Must be dependable, well-organized, with a positive attitude
Qualifications:
Must be Bi-lingual, Fluent in both English and Spanish (Read, Write and Speak)
Must have a High School Diploma or Equivalent
Knowledgeable in Word, Excel and Office365
Able to lift boxes up to 30 lbs and walk approx. 1/2 mile
