Summary: This entry-level position provides support to Workforce &amp; Family Services (WFS) programs. Tasks include first point of contact for homeless inquiries/appointments; appointment scheduling; &amp; customer service for internal &amp; external consumers. Provide administrative representative payee services, ensuring funds are distributed correctly &amp; records are properly maintained. Must pass background.
Education &amp;/or Experience: High school diploma or general education degree (GED); or one to three months related experience &amp;/or training; or equivalent combination of education &amp; experience.
Essential Duties &amp; Responsibilities include the following: 
<ul>
<li>Provide information regarding eligibility &amp; program services for WFS programs to both phone &amp; face-to-face inquiries.</li>
<li>Operate office equipment &amp; use computers for spreadsheets, word processing, database management, &amp; other applications.</li>
<li>Greet &amp; direct visitors/participants &amp; inquiry phone calls to appropriate staff. When applicable, provide information regarding eligibility of WFS programs &amp; community resources via phone or walk-in inquiries.</li>
<li>Review participant records in electronic case management database for completeness for monthly Quality Assurance per pre-determined procedure. Provide follow-up to ensure record integrity.</li>
<li>Work with persons with disabilities &amp;/or disadvantages &amp; when instructed provide guidance &amp; assistance.</li>
<li>Attend &amp; actively participate in offered trainings, including but not limited to de-escalation, diversion, &amp; rapid resolution techniques.</li>
<li>Provide services within scope of work, as directed by supervisors. </li>
<li>Establish &amp; maintain good working relationships with participants, referring agencies, &amp; other program partners. </li>
<li>Stay informed of all state &amp; federal laws affecting the organization &amp; the people it serves. </li>
<li>Distribute funds in accordance with representative payee plan in order to accommodate the primary needs of housing, essential needs, &amp; secondary personal needs, with remaining funds dispersed to the clients on a needs basis. </li>
<li>Conduct intake interviews with new clients, completing necessary paperwork.</li>
<li>Maintain a file on each payee containing representative payee information forms, agreement forms, expenditure forms, &amp; other pertinent information. </li>
<li>Maintain &amp; tally check register for each client file, providing Accounting department with accurate records at the end of each month. </li>
<li>Prepare &amp; distribute checks to each client. </li>
<li>Keep accurate records of all checks received &amp; all checks issued to clients. </li>
<li>Contact creditors (utility companies, medical services, l&amp;lords, etc.) to set up payment plans for payees. </li>
<li>Assist with the Social Security Administration reports, detailing how payees' funds were distributed over a specified period of time. </li>
<li>Communicate with other agencies providing information when needed to assist the client to procure energy assistance &amp; other available community assistance.</li>
<li>Must not contribute to or create a real or perceived conflict of interest surrounding clients or client accounts. </li>
<li>Adhere to HIPAA regulations, company policies, &amp; procedures regarding the same.</li>
<li>Work collaboratively with WFS to provide participant services.</li>
<li>Follow all policies, procedures, &amp; directives of Goodwill Industries of the Inl&amp; Northwest assuring safety of personnel or property.</li>
<li>Properly wear &amp; maintain all required Personal Protective Equipment (PPE).</li>
<li>Maintain agency confidentiality. Violation of confidentiality is cause for immediate dismissal.</li>

ESSENTIAL DUTIES AND RESPONSIBILITIES

<li>Receives and transfers business calls on a multi-line phone system, provides information and answers general inquiries about BRS services and programs, and transfers call to proper sources.</li>

<li>Greets the public and/or clients. Assists public and/or clients with filling out paperwork and forms; directs clients to appropriate staff.</li>

Experience, Education and Credentials

<li>Typically requires a high school diploma or equivalent.</li>
<li>In addition to education, the qualified candidate will generally have at least two years of experience performing administrative or clerical work.</li>
</ul>
 
Knowledge, Skills and Abilities
<ul>
<li>Experience and strong interest in working with youth; specifically adolescent populations a plus.</li>
<li>Bilingual Spanish fluency is a plus.</li>
<li>Excellent interpersonal communication skills and strong computer and time management skills are required to work effectively.</li>
<li>Intermediate understanding of federal and state confidentiality, record retention and HIPAA requirements.</li>
<li>Qualified candidates must be able to pass a DHS criminal background check.</li>
