GENERAL SUMMARY
 
The Surgery Scheduler schedules and preauthorizes surgeries and specialized procedures for the physician/medical practice including the scheduling of follow up appointments in the office. Suegery Scheduler reviews pre-op tests required, medications, allergies, and medical history with patient. Understands insurances and manages pre-certifications required for obtaining benefits. The Surgery Scheduler must be able to respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. Scheduler will multitask and handle obstacles with outstanding customer service skills.

ESSENTIAL JOB FUNCTION/COMPETENCIES
Responsibilities include but are not limited to:

<li>Schedules office, surgery centers and hospital based medical procedures, for patients with appropriate provider and time/location slot, utilizing appropriate scheduling code.</li>
<li>Pre-authorizes surgeries through insurance companies and schedules procedures at the designated facility and accurately enters information into the scheduling system.</li>
<li>Maintains a surgical log for statistical analysis.</li>
<li>Provides pre-surgical packets to patients confirming date and pre-operative instructions.</li>
<li>Responsible for coordinating with the surgical facilities for any special equipment or personnel needed for the surgery.</li>
<li>Ensures all pre-operative labs are ordered, tracked for completion and scanned correctly into the patient’s electronic medical record.</li>
<li>Effectively utilizes clinical knowledge when determining if appointment is consistent with the diagnosis/indications indicated by the provider.</li>
<li>Responsible for auditing the automated phone system each day to ensure the call information has been correctly changed and the phone call schedules changed if necessary.</li>
<li>Verifies and re-verifies scheduling for accuracy before schedules are published.</li>
<li>Interfaces with appropriate surgery center and hospital staff to ensure a cohesive working relationship in providing patient care services.</li>
<li>Must treat our patients and our referring physicians with the utmost courtesy and respect whether in person or on the phone.</li>
<li>Maintains patient confidentiality.</li>
<li>Performs other position related duties as assigned.</li>

Pay and Benefits
The pay range for this position is $19.00 - $23.00/hr.

<h3>Job Description</h3>
Job DescriptionDescription:
Schedules orthopedic and spine surgeries for patients with the appropriate provider, time and location. Ensuring the patients are being scheduled efficiently based on medical necessity and the physician schedules are being utilized to their maximum capacity.
Triages orders based on scheduling criteria provided by the physician
Verifies necessity of insurance authorization or pre-determination based on cpt codes provided by physician
Ensures patient has proper medical clearance prior to procedure in collaboration with clinical team
Coordinate appointment with facility and fax orders with appropriate medical records
Schedule appointment in EMR
Completes accurate documentation of all scheduling notes in EMR
Provide information to patient regarding any specific instructions before testing, such as fasting on the night before testing, taking a specific medication, or temporarily stopping medications to ensure they don’t interfere with results
Requirements:
EDUCATION and EXPERIENCE

<li>High School diploma or equivalent is required</li>
<li>Six - twelve months of appointment scheduling experience in a healthcare setting is preferred</li>
<li>Basic understanding of medical terminology</li>
</ul>
SKILL/ABILITIES

<li>Excellent phone skills, ability to communicate with patients and medical personnel effectively and efficiently</li>
<li>Excellent Customer Service Skills</li>
<li>Excellent time management skills</li>
<li>Intermediate knowledge of computer systems</li>
<li>Knowledgeable of medical privacy laws, as confidential information will be included in scheduling documentation.</li>
<li>Understanding of medical terminology and the types of procedures offered at a medical facility</li>
<li>Strong Organizational Skills with great attention to Detail</li>
<li>Problem Solving Skills required</li>
<li>Demonstrated Conflict Management Skills required</li>

PHYSICAL DEMANDS
While performing the duties of this job, employee is regularly required to sit, stand, walk, reach with hands and arms, and to talk and hear. Employee will be required to climb or balance, stoop, kneel, or crouch. Employee must occasionally lift, push and/or move up to 20 pounds. Employee may be required to operate various types of orthopedic equipment necessitating manual dexterity. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
 
WORK ENVIRONMENT
The work environment is typical of a physician practice. While performing the duties of this job, employee may be exposed to risk of infectious diseases when interacting with patients and/or family members. The employee may be occasionally exposed to wet and/or humid conditions, moving mechanical parts, fumes or airborne particles, toxic or caustic chemicals and vibration. The noise level in the work environment is usually moderate.
