POSITION SUMMARY
The Social Security Intake Specialist/ Paralegal serves as the initial point of contact for prospective clients seeking assistance with Social Security benefits. This role involves conducting comprehensive client intakes, managing documentation, scheduling appointments, and ensuring seamless communication between clients, attorneys, and the Social Security Administration.
RESPONSIBILITIES
Client Intake Management
<ul>
<li>Conduct thorough Social Security intakes via telephone within 48 hours of assignment, gathering detailed personal and medical information.</li>
<li>Follow up with potential clients through phone, email, and text to obtain necessary information and documentation.</li>
</ul>
Documentation and Record-Keeping
<ul>
<li>Generate and dispatch retainer packets to clients via email or mail promptly</li>
<li>Create and maintain accurate client records in the firm's case management system.</li>
<li>File Social Security applications and appeals, submitting requisite forms and documentation to SSA local offices.</li>
<li>Request medical records using HIPAA guidelines.</li>
<li>Submit medical records to SSA via ERE</li>
</ul>
Scheduling and Coordination
<ul>
<li>Schedule appointments for Intake Attorneys/Advocates based on availability.</li>
<li>Coordinate with clients to provide status updates and resolve inquiries.</li>
</ul>
Communication
<ul>
<li>Respond to phone calls, voicemails, emails, and text messages within 24 hours.</li>
<li>Liaise with attorneys, management, and the SSA to facilitate optimal client service.</li>
<li>Send correspondence including contact letters, closing letters, and forms such as RFCs.</li>
<li>Communicate with case managers, hearing and field offices</li>
<li>Assist clients with questionnaires sent by SSA</li>
</ul>
Administrative Support
<ul>
<li>Monitor daily dashboards to prioritize tasks.</li>
<li>Create reminders and track intake-related actions in the case management system.</li>
<li>Verify and update client contact details.</li>
