The administrative assistant delivers support services to selected San José State University students. Responsible for recordkeeping, database, and budget management, as well as other administrative support duties as needed. &nbsp;Additionally, this person will report directly to the ASPIRE/McNair Scholars program director. &nbsp;
ESSENTIAL DUTIES &amp; RESPONSIBILITIES

<li>Establishes and maintains a complex computerized system of files and records involving participant eligibility, demographic data, results of outcome objectives, and project contracts. Prepares written and statistical reports on student progress and outcomes as requested by the program director.</li>
<li>Maintains expenditure records by specific budget category. Creates and maintains computerized spreadsheets for budget monitoring and control. Reviews and verifies all computer printouts on program budget status prepared by SJSU Research Foundation accounting office.</li>
<li>Prepares quarterly budget reports and projected budget reports for the program director to monitor spending and the effective use of funds.</li>
<li>Assists the director in managing the program budgets and ensuring compliance with TRiO legislation and regulations as stated by the Department of Education.</li>
<li>Assists the director to ensure compliance in accordance with the grant contract with the U.S. Department of Education and SJSU Research Foundation policies and procedures.&nbsp;</li>
<li>Onboarding student staff and monitoring their daily tasks.</li>
<li>Clerical duties as assigned.</li>
<li>Coordinates office workflow and maintenance of files and records between ASPIRE and the McNair Scholars Programs.</li>
<li>Advises the director of any problem areas in handling office workflow, questions about program priorities, and suggestions for improving the efficient operation of the program office.</li>
<li>Arrange and coordinate travel and travel reimbursement for staff and participants of ASPIRE and McNair Programs.</li>

Billing &amp; Revenue Cycle:

Oversee all aspects of medical billing for surgical and non-surgical services.

Ensure accurate coding of office visits, procedures, and spine surgeries (CPT/ICD-10).

Submit insurance claims and perform timely follow-ups on outstanding claims or denials.

Coordinate pre-authorizations and verify surgical benefits and coverage with insurers.

Monitor collections and patient balances; generate and review A/R reports.

Maintain compliance with HIPAA, payer policies, and current coding guidelines.

Administrative Duties:

Stay up-to-date on surgical billing trends, especially for orthopedic and spine procedures.

Qualifications
<ul>
<li>
Minimum 2 years of experience in a medical front office and billing management role, preferably in a surgical or specialty practice.

<li>
In-depth understanding of spine surgery billing, including pre-authorizations, modifiers, and global periods.
</li>
<li>
Proficiency with medical coding (CPT, ICD-10) and electronic health record systems.
</li>
<li>
Strong leadership, problem-solving, and interpersonal communication skills.
</li>
<li>
Certified Professional Biller (CPB), Certified Coding Specialist (CCS), or Certified Professional Coder (CPC) preferred.
</li>
<li>
Experience with EMR/Billing Software used, e.g., Amazing Charts, Athenahealth, Kareo, NextGen is a plus

Job DescriptionJob Summary The Front Office Coordinator would be responsible for greeting all patients and clinic visitors in a friendly manner, directing them to the appropriate location, and providing general information about the office. The front office activities include receptionist tasks, check-in &amp; check-out processes and referral coordination duties. Job Responsibilities

<li>Answering phones efficiently and with the proper etiquette, directing the calls to the appropriate person/department. Updating patient information in computer when necessary</li>
<li>Scheduling new patients, collecting insurance information, filling out proper forms to set up new patient files and preparing file labels</li>
<li>Verifying medical insurance for all appointments (at least one day prior to service) and walk-in patients</li>
<li>Maintaining inventory of new patient forms and office supplies required for front desk activities</li>
<li>Monitoring patient wait time and ensuring physicians' on-time schedule. Prioritizing appointment versus walk-in. Assisting in pulling charts for walk-in patients.</li>
<li>Providing patients the proper documentation for quick referrals using preferred network</li>
<li>Ensuring patients leave with all necessary forms and paperwork (i.e. receipt of visit, lab requisition, prescription, etc.)</li>
<li>Scheduling any necessary follow-up appointments, confirming next days appointments, and also following up on any missed appointments</li>
<li>Respecting and maintaining privacy and dignity of patients to assure client confidentiality at all times</li>
</ul>
Job Qualifications
<ul>
<li>High school diploma or equivalent</li>
<li>1 year of experience within a medical office setting</li>
<li>Experience with referrals is preferred, but not required.</li>
<li>Data entry and typing experience</li>
<li>Bilingual in English/Spanish is preferred</li>
<li>Knowledge of basic medical terminology is preferred</li>
