Position Summary The Leaves Operations Specialist reports to the Associate Director of Benefits and serves as a key member of the medical leaves department within University Human Resources. This role serves as the point of contact for the execution and review of medical leave transactions and processes and will work directly with employees, unit administrators and the payroll department. The Leaves Operations Specialist position requires the ability to create, maintain, and clearly communicate efficient processes, including the best practices for leaves transactions. PHI’s Senior Workforce Intervention Specialist works to improve job quality for direct care workers by contributing to the development, implementation, and evaluation of PHI’s practice-based employment and training models. As a part of PHI’s Workforce Innovations Team (WIT), they will specialize in leading engagements related to operationalizing and evaluating meaningful advancement opportunities that expand the direct care career ladder; additionally, they may support programs aimed at strengthening recruitment and retention practices, creating a coaching culture, developing adult-learner centered training, and assessing direct care job quality. Outstanding skills in critical thinking, proactive leadership, written and verbal communication, relationship building, and workforce and organizational development are essential for success in this role. &nbsp;
POSITION RESPONSIBILITIES

<li>Lead the implementation of PHI practice-based job quality interventions, including creating and maintaining work plans and timelines, managing partner relationships, executing project activities, and reporting progress to PHI’s Vice President of Workforce Innovations through verbal and written communication.</li>
<li>Build and manage relationships with numerous strategic workforce partners – including long-term care employers, payors, advocates, and others - to support collaboration and the successful integration of job quality practices.</li>

Job Description
A leading provider of industrial and construction supplies is seeking a detail-oriented Collections Specialist / Accounts Receivable Specialist with experience working with contractors.

Responsibilities:
<ul>
<li>Monitor and manage accounts receivable balances, ensuring timely collection of payments from general contractors, subcontractors, and clients.</li>
<li>Manage outstanding invoices and follow up on overdue payments</li>
<li>Contact clients via phone, email, and written correspondence to follow up on outstanding invoices.</li>
<li>Research and resolve discrepancies related to payments, billing errors, or disputes.</li>
<li>Process customer payments and apply them to the appropriate accounts.</li>
<li>Maintain accurate records of collection efforts, communications, and payment commitments.</li>
<li>Ensure compliance with lien laws, preliminary notices (e.g., Notice to Owner - NTOs), and waivers/releases of lien as required for payment processing.</li>
<li>Build strong relationships with clients, general contractors, and subcontractors to facilitate timely payments.</li>
<li>Address client inquiries related to invoices, payment terms, and outstanding balances.</li>
<li>Work with clients to negotiate payment plans when necessary while adhering to company policies.</li>
<li>Prepare aging reports and provide regular updates on collection efforts and outstanding balances.</li>
<li>Reconcile accounts receivable ledger to ensure accurate reporting.</li>
<li>Assist in month-end closing and financial reporting related to accounts receivable.</li>
<li>Identify trends in late payments and recommend strategies for improving cash flow.</li>
</ul>
Requirements
<ul>
<li>Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred but not required).</li>
<li>3+ years of experience in accounts receivable and collections—preferably in the HVAC industry or similar.</li>
<li>Experience working with general contractors, subcontractors, and vendors.</li>
<li>Strong communication and negotiation skills to manage collections professionally.</li>
<li>Have a solid understanding of lien rights, contract terms, and payment applications related to contractors and subcontractors</li>
<li>Proficiency in accounting software ( Sage 300 or similar) and Microsoft Excel.</li>
<li>Ability to analyze aging reports and identify collection strategies.</li>
<li>Detail-oriented with strong problem-solving skills.</li>
<li>Bilingual Spanish/English</li>
</ul>
