Assistant Director - Special Facilities Management

Oregon Institute of Technology (Oregon Tech) seeks applicants for a full-time, 12 month Academic Affairs Budget Director in the Office of the Provost. The Academic Affairs Budget Director will lead the development of and provide responsibility for fiscal budgeting and planning functions within Academic Affairs as well as advising the Provost. Responsibilities will include preparation, analysis, review and reporting of Academic Affairs budgets for all funds, preparing complex analysis and providing timely, reliable and accurate data to the Provost to assist in decision-making. Under supervision of the Provost, the Director will advise senior management on fiscal impacts in the Academic Affairs division and will manage academic tracking and forecasting, commitments and expenditures and identify potential improvements of the academic budget administration. The Director will serve as the academic affairs liaison with the University Budget Office and provide budget training and guidance to the colleges and departments. Other responsibilities of this position will include assisting with the&nbsp;ATS&nbsp;system and communicating with departments regarding position budgets. The Director may also supervise Office Managers within the academic units. This position requires integrity and confidentiality as the Director will have access to sensitive data. Additionally, the position requires strong analytical skills, accuracy, excellent written and verbal communication skills, as well as the ability to make thoughtful, independent decisions for routine and non-routine decision-making. The ability to work independently, manage and prioritize multiple tasks and have strong organizational skills are required.

The Position: The Vice President for Finance and Administration/CFO (VPFA) reports directly to the President and is a key member of the President's leadership team. GENERAL DUTIES
Reporting to the President of the College or to a designated senior official of the College, the incumbent has the widest latitude for insuring the safety and security of the campus, college property, faculty, staff, students, and members of the community who enter the college campus.

This position is charged with directing the work of campus peace officers and other security personnel in a manner consistent with the environment of the college and University; the incumbent is charged with enforcing all college and University security policies.

With respect to the implementation of University-wide policies, this position receives consultative guidance from the University Security Office regarding University security policies similar to the guidance provided by other central office audit and control functions to other college activities.

General Work Tasks

<li>Manages and directs all college security activities; manages college special events and develops service contact specifications in accordance with college needs, and in consultation with the University Security Office, as appropriate.</li>
<li>Plans, administers and directs the overall management of the college security function: preparing the activity budget, ascertaining staffing level needs and deploying staff accordingly, determining appropriate use of overtime service, identifying suitable resource utilization, etc.</li>
<li>Prepares comprehensive security operations plans; manages ongoing assessments of the status of the college's entire campus security program.</li>
<li>Directs the overall field operations and administrative duties of all college security staff. Determines delegations of supervisory responsibilities, e.g., merit recognition and administration of disciplinary processes.</li>
<li>Maintains and updates Emergency Management Plans in accordance with University and college specific guidelines.</li>
<li>Ensures compliance with the Family Education Right to Privacy Act (FERPA).</li>

<li>Records and compiles criminal and security incident statistics.</li>

Ensures that community policing standards are maintained on campus. Provides practical leadership in informing college constituencies of the customer service philosophy of the University Office of Public Safety. Coordinates with other college administrative officers to assure that the college plan is adhered to for securing persons and property and for preventing fire and crime.</li>
<li>Assesses college needs with regard to security communications technology; obtaining, providing, and maintaining security equipment, vehicles, and facilities in consultation with the University Public Safety Office.</li>
<li>Ensures that security officers are inspected (uniforms, grooming, firearms, batons and other equipment) on a daily, tour-by-tour basis prior to patrol commencement (roll calls).</li>
<li>In cooperation with the College Environmental Health and Safety Officer, plays an active role in ensuring that environmental health and safety standards are being adhered to; may serve as the College Environmental Health and Safety Officer.</li>
<li>Provides information and/or testimony relevant to incidents arising at the college.</li>

Founded in 1971 in Long Island City, Queens, LaGuardia Community College is one of seven community colleges of the City University of New York (CUNY). LaGuardia offers more than sixty associate degree programs and more than fifty workforce training, ESOL, GED, and pre-college programs. In 2023, LaGuardia served approximately 24,000 students. More than one-third of LaGuardia’s degree-seeking students are born outside the United States; they come from 136 countries and speak 43 heritage languages. Sixty percent are first-generation college students.

Specific Duties and Responsibilities
<ul>
<li>Provide clerical support, which includes, but is not limited to: answering and routing incoming telephone calls, scheduling appointments, copying, filing, shredding, drafting routine correspondence for signature, grade appeal letters to students, letters to students as a result of academic review, assist AVPC with projects as needed, ensure that deadlines are adhered to, process purchase requisitions, check requisitions, etc.</li>
<li>Schedule meetings for the AVPC. </li>
<li>Schedule and take minutes for D.C. Department meetings. </li>
<li>Process scheduling requests from faculty, staff, and administrators for conference rooms and classrooms through Jenzabar. </li>
<li>Maintain Division of Academic Affairs personnel files. </li>
<li>Maintain files. Including, but not limited to: correspondence files, committee files, budget documents, faculty research/publication files, etc.</li>
<li>Make travel arrangements for AVPC and guests. </li>
<li>Organize, plan and execute Transitions Ceremony each trimester.</li>
<li>Organize, plan and execute the annual Memorial Service.</li>
<li>Responsible for managing all aspects of the ConnecTX instrument distribution, inventory and student certificates.</li>
<li>Provide clerical support to the Judicial Officer to facilitate the judicial process. This includes the maintenance of office files, drafting and tracking routine documents and correspondence for signatures, scheduling judicial meetings, etc.</li>
<li>Order supplies, periodicals, books, etc. for chiropractic program and offices.</li>
<li>Download NBCE Exam results from NBCE website. Post on EIP and distribute to email group.</li>
<li>Send Dean’s list certificates to qualifying students each trimester.</li>
<li>Complete program meeting calendar each trimester for distribution to program faculty and staff.</li>
<li>Responsible for processing requests for remediation assessment.</li>
<li>Track graduates for NBCE/CCEB board exam results, licensing and employment within 6 months of graduation date.</li>
<li>Other duties as assigned.</li>
</ul>

<ul>
<li>Performance evaluations by AVPC.</li>
<li>Satisfaction of the Directors and the Judicial Officer with the quality of the services provided.</li>
<li>Faculty and student satisfaction with Academic Affairs offices and program services.</li>
</ul>

<ul>
<li>Excellent organizational, written and oral communication skills necessary with emphasis on customer service philosophy.</li>
<li>Ability to effectively interact and communicate with all college constituents.</li>
<li>Ability to perform multiple tasks flexibly and independently, due to interruptions.</li>
<li>Attention to detail and accuracy essential.</li>
<li>Possess good listening skills.</li>
<li>Ability to evaluate and prioritize workload.</li>
<li>Ability to tolerate occasional hallway noise and distractions. </li>
<li>Ability to handle high level of discretion and confidentiality.</li>
</ul>

Education and Experience
<ul>
<li>High school diploma with emphasis on secretarial skills and/or minimum of 2-3 years secretarial experience, preferably in an educational setting required.</li>
<li>Knowledge of MS Word, PowerPoint, Excel, Outlook, Teams, Zoom, and Jenzabar required. </li>
