Job Summary
This position performs complex clerical, secretarial, administrative, and office support duties following established guidelines and procedures to expedite and maintain the caseload and special processes and procedures of the District and/or Magistrate Court as assigned. The work is performed under the general supervision of the Director of Court Operations and direct supervision of the Court Operations Manager and Area Supervisor. Certain levels in the series may assist in training and may provide direction to other court clerks, the principal duties of this position are performed in a general office and courtroom environment.
Key Responsibilities:
· Clerk I
o Training and entry-level position. Receives and examines legal documents for accuracy, completeness, and conformity to requirements; returns unacceptable documents, affixes seals and stamps to endorse, certify, and file documents. 
o Prepares and maintains documents and exhibits, files legal documents and related case materials; retrieves and delivers files and documents to court or appropriate parties, maintains court records and files.
o Prepares documents in conformance with court orders, issues legal documents such as warrants, writs, subpoenas, abstracts, and other official documents on behalf of the court in accordance with policies and procedures recall warrants, exonerates bail, prepares judgments and dismisses or seals cases in accordance with established code and court procedures.
o Advises attorneys, agencies, and the public on the status of cases in a professional and courteous manner, provides procedural information, answers inquiries, and explains filing processes, explains and accepts fees and fines, maintains and updates financial records.
· Clerk II
o Journey level position performs all duties required for the Clerk I position as well as maintains court records and files, such as records of court-appointed counsel and experts, receipts, marks, and takes custody of evidence.
o Attends Court sessions, takes minutes of actions and proceedings, requests clarification of instructions and orders of action to properly note the official court record; impanels and polls jurors, records challenges, administers oath or affirmations to witnesses and jurors, and records jury service and compensation due to jurors.
o Prepares a variety of documents related to court operations and coordinates the flow of documents necessary for court assignments; arranges for interpreters, pro-term judges, and assigned judges.
o Performs difficult and complex duties related to reviewing legal documents and examining them for accuracy, completeness, and conformity to requirements; may provide procedural assistance to self-represented litigants at the Legal Assistance Center. 
· Clerk III
o Advanced journey level position performs all duties required for the Clerk II position; may perform special projects; may be assigned to train and mentor other court clerks in various court procedures.
· Clerk IV
o Highest advanced journey level “lead worker” position performs all duties required for the Clerk III position and performs the duties of the Area Supervisor in his/her absence. 
· Other Duties
o Performs all work duties and activities following County policies, procedures, and safety practices.
o All other duties as assigned.

The Court Clerk 3 will perform highly difficult, complex and responsible office work in the Court Services division of the Clerk's office. Required Tasks

Job DescriptionRate of Pay: $17.88 - $20.38 Status: Open Until Filled This position is on-site Monday-Friday (no remote options) Under general supervision of the Deputy Court Administrator, this position performs a variety of legal procedures including, but not limited to, cash handling, preparation, processing and attending court hearings related to Municipal Court cases (traffic, misdemeanor, local ordinance, and zoning) and facilitates the efficient and effective operation of the Municipal Court.&nbsp; &nbsp;
<ul>
<li>Provides customer service wherein a higher level of direct interaction and individual attention is required in person and by phone to the public, law enforcement personnel, members of the legal community and defendants.</li>
<li>Utilizing court records management system software, conducts cash transactions and records payment of fines and fees and issues receipts, reconciles and balances cash drawer daily; compiles and organizes citation/accusation data for case initiation; acquire and research defendant’s background history through GCIC/NCIC/DDS of prior offenses, outstanding warrants or license suspension needing service perfected; access fine amount according to court order of bond schedule; generate courtesy notice to defendant advising of fine amount and court date. Modify GCIC history upon presentment of appropriate court documents for revocation of probation or modifications of first offender status.</li>
<li>Serves offender failure to appear accusation and prepares cash bond contracts.</li>
<li>Journals and reconciles daily cash bonds and bond contracts processed by the police department.</li>
<li>Maintain production orders; prepares case files for court appearance of jail arraignment and probation revocation hearings.</li>
<li>Authorized to issue continuance of court date upon presentment of appropriate documentation as evidence of conflict.</li>
<li>Accepts pleadings, affidavits, leave of court notices, conflict notices, motions and appeals filed in person and by mail; distributes to appropriate court employees for processing.</li>
<li>Scheduling of non-jury trials for traffic, misdemeanor, and local ordinance and zoning violations.</li>
<li>Scheduling of appeals for parking and photo enforced violations (red-light and school bus).</li>
<li>Provide court room support functions by attending court hearings and triage case by announcing charges and fine to defendant, recording of plea, determining path of case and route case accordingly, accepting pleadings and motions filed in open court and continuance of court date and scheduling of non-jury trials during court proceedings; assisting Prosecutor with gathering case files of those represented by counsel, initial case preparation for court appointed attorney applications and pre-trial diversion cases; updating of court record management system with minor plea negotiations of prosecutor.</li>
<li>Researches and certifies documented court dispositions; conduct record searches and provide certified copies.</li>
<li>Verify vehicle insurance and license plate status.</li>
<li>Processes warrants signed by Judge by preparing appropriate case history package for police department; records served warrant statuses; receive from Deputy Court Clerk I and confirm certain criteria is met to withdraw or recall warrant/license suspension and process immediately.</li>
<li>Preparation and forwarding of cases being bound over to State/Superior Court; updating of GCIC to reflect case status of transferred to State/Superior Court for prosecution.</li>
<li>Cross-trained to perform Deputy Court Clerk I duties; perform such duties as directed by supervisory personnel.</li>
</ul>
&nbsp; &nbsp; &nbsp;Preferred Qualifications: &nbsp;
<ul>
<li>Paralegal Certification or an associate degree is&nbsp;preferred&nbsp;and 3 years of experience in a court environment or closely related field; or an equivalent combination of education, legal or court experience may be accepted. Preferred candidate should have experience in a court environment performing duties substantially similar to Deputy Court Clerk I, II, or other legal field experience.</li>
<li>Knowledge and skill in account management with ability to balance daily cash collections with receipts. Ability to apply business mathematics required.</li>
<li>Ability to review, classify, categorize, prioritize, and analyze court case data.</li>
<li>Must be organized and have ability to pay close attention to details and recognize discrepancies and escalate unresolved matters to appropriate supervisory personnel.</li>
<li>Ability to and knowledge of interpreting criminal and driving histories.</li>
<li>Ability to determine data classification and establish standards for the purpose of recognizing actual or probable interactive effects and relationships on case records.</li>
<li>Ability to operate credit card processing equipment, calculator, PC, and Network computer equipment; skill with Microsoft Office Suite including Word, Excel, and Outlook required.</li>
<li>General knowledge of criminal judicial system, courts, and legal terminology.</li>
<li>Ability to establish and maintain cooperative working relationships with others, including judicial officers, attorneys, supervisors, coworkers, other agencies, and the public.</li>
<li>Ability to follow oral and written direction and use good judgement in recognizing the scope and limit of delegated authority.</li>
<li>&nbsp;Must become Notary Public within 30 days of hire date.</li>
<li>Successful completion of Georgia Crime Information Center Security and Integrity class and training related to disposition reporting within 60 days of hire date.</li>

Performs complex clerical duties specializing in municipal court processes and procedures. Work involves a variety of independent office tasks with minimal supervision and includes frequent contact with the public. 
ESSENTIAL TASKS:

QUALIFICATIONS:
Training and Experience: High School diploma or equivalent required. At least three (3) years of related office experience including at least one (1) year accounting or general ledger work; specialized coursework in general office practices. Municipal court experience a plus.
Knowledge, Abilities, and Skills: Considerable knowledge of modern office practices and Microsoft Office applications. Ability to work independently. Ability to handle stressful or emotional situations professionally and interact with the public effectively. Strong written and verbal communication skills. Knowledge of data entry, record keeping, and financial balancing.
