Court Clerk 
Reports to: Court Administrator-Chief Clerk of Municipal Court Department: Administrative Services, Municipal Court Division Hours: Hours vary based on court schedule. Court hearings are held during weekday and evenings. May be required to work weekends, occasionally.
Starting Salary: $21.08 – 21.61 Hourly; $43,846 - $44,949 annually (Non-Exempt) Purpose of Work: The Court Clerk provides administrative and clerical support during regular business hours and in the courtroom during courtroom proceedings. Engages in and supports change in the improvement of the City’s municipal court system. Demonstrates a commitment to work collaboratively with other members of the Municipal Court team to ensure the court operates efficiently and accurately while maintaining a high level of customer service to the general public, judges, attorneys, police staff and other City employees. 
Essential Duties and Responsibilities:
<ul>
<li>Responds to written and email inquiries and in-person inquiries at the front window.</li>
<li>Prepares assigned court calendars and courtroom for municipal court sessions.</li>
<li>Attends court sessions as required; accurately take notes regarding proceedings; and assists judge, solicitor, and public defender during court as required</li>
<li>Coordinate with the police department and jail to assist with inmate court proceedings and the management of related jail records and documentation. </li>
<li>Records disposition of cases identified by docket reports; prepares legal notices, court decisions, complete disposition documents during final calendar call. </li>
<li>Enters disposition/adjudication and conditions in court management software in real-time during court sessions.</li>
<li>Ensures all court forms and documents are signed by a judge before the end of each court session and made available for payment. </li>
<li>Assists in maintaining court dockets, court records, files, pleadings, and notes of all depositions and cases. </li>
<li>Performs data entry in specialized program applications: scans and files various legal reports, records, citations, legal reports, and all other documents pertinent to the court. </li>
<li>Ensures all court documents are complete, accurate, and compliant with State of Georgia law and court procedures. </li>
<li>Prepares and processes records, forms, and other legal papers for court, such as court dockets, expungement (record restrictions) papers, citations, warrants, and jail cases. </li>
<li>Prepares court calendars and or calendar cases for hearing; distributes court calendars to Police Department, prepares a variety of documents related to court operations and assist in the coordination of work flow documents necessary for court assignment; scheduling language translators or American Sign Language assignments.</li>
<li>Responds to inquiries, questions, and complaints from the general public and court-related personnel by telephone and in person regarding court policies, procedures, personnel, or specific cases. </li>
<li>Prepares various reports, summaries, and other correspondence as the Court Administrator assigns.</li>
<li>Processes fines and other payments: receives, records, receipts, and deposits payments according to established court procedures; reconciles daily transactions; and balances money received. </li>
<li>Assists with posting and obtaining information via the GCIC network.</li>
<li>Attend and participate in training opportunities relevant to the position.</li>
<li>Maintains the relevant certifications as required by the position. </li>
<li>Performs all other related duties as assigned by the Court Administrator.</li>

Job Summary
This position performs complex clerical, secretarial, administrative, and office support duties following established guidelines and procedures to expedite and maintain the caseload and special processes and procedures of the District and/or Magistrate Court as assigned. The work is performed under the general supervision of the Director of Court Operations and direct supervision of the Court Operations Manager and Area Supervisor. Certain levels in the series may assist in training and may provide direction to other court clerks, the principal duties of this position are performed in a general office and courtroom environment.
Key Responsibilities:
· Clerk I
o Training and entry-level position. Receives and examines legal documents for accuracy, completeness, and conformity to requirements; returns unacceptable documents, affixes seals and stamps to endorse, certify, and file documents. 
o Prepares and maintains documents and exhibits, files legal documents and related case materials; retrieves and delivers files and documents to court or appropriate parties, maintains court records and files.
o Prepares documents in conformance with court orders, issues legal documents such as warrants, writs, subpoenas, abstracts, and other official documents on behalf of the court in accordance with policies and procedures recall warrants, exonerates bail, prepares judgments and dismisses or seals cases in accordance with established code and court procedures.
o Advises attorneys, agencies, and the public on the status of cases in a professional and courteous manner, provides procedural information, answers inquiries, and explains filing processes, explains and accepts fees and fines, maintains and updates financial records.
· Clerk II
o Journey level position performs all duties required for the Clerk I position as well as maintains court records and files, such as records of court-appointed counsel and experts, receipts, marks, and takes custody of evidence.
o Attends Court sessions, takes minutes of actions and proceedings, requests clarification of instructions and orders of action to properly note the official court record; impanels and polls jurors, records challenges, administers oath or affirmations to witnesses and jurors, and records jury service and compensation due to jurors.
o Prepares a variety of documents related to court operations and coordinates the flow of documents necessary for court assignments; arranges for interpreters, pro-term judges, and assigned judges.
o Performs difficult and complex duties related to reviewing legal documents and examining them for accuracy, completeness, and conformity to requirements; may provide procedural assistance to self-represented litigants at the Legal Assistance Center. 
· Clerk III
o Advanced journey level position performs all duties required for the Clerk II position; may perform special projects; may be assigned to train and mentor other court clerks in various court procedures.
· Clerk IV
o Highest advanced journey level “lead worker” position performs all duties required for the Clerk III position and performs the duties of the Area Supervisor in his/her absence.

A DAY IN THE LIFE OF A DEPUTY COURT CLERK
As a Deputy Court Clerk, you spend your day responding to customers regarding legal options to satisfy cases, including fines, trials or hearings, driver's safety, deferred dispositions, warrants, extensions, and posting of bonds. Your work typically involves updating case files in the Court's case management system as contact is made with customers, judges, prosecutors, defense attorneys, witnesses and others. Prepare and processes traffic and parking citations filed by the Edinburg Police Department and other agencies. Your job is essential to the city, you monitor cases for compliance, process cases in accordance with legal requirements, and prepare documentation for the judge and prosecutor. DESCRIPTION OF MAJOR JOB DUTIES
The Court Clerk 3 will perform highly difficult, complex and responsible office work in the Court Services division of the Clerk's office. Duties include but are not limited to handling complex public contact work, reviewing and processing documents for completeness, accuracy and conformance with required office practices, laws and statutes.
Required Tasks
<ul>
<li>Assist in training new employees and refresher training for current employees.</li>
<li>Accept receipts, fees and payments from customers, issue receipts, enter transactions and supporting data into the cash register, make change, validate payments, verify various Court application fees and reconcile cash with register reports.</li>
<li>Distribute and review assignments according to Supervisors' and Managers' instructions, to include various documents relative to Court Services in the Civil, Criminal and Juvenile divisions, receipt and filing of various court documents, Traffic and Ordinance tickets, etc.</li>
<li>Maintain statistics relative to work received and completed.</li>
<li>Perform highly responsible clerical tasks, such as letters, memos, spreadsheets, emails, etc., displaying proficiency in various computer programs to include MS Word and Excel.</li>
<li>Data entry of court orders, judgments and proceedings into the Court Case Management System in a timely manner consistent with the ruling of the Court.</li>
<li>Prepare and mail Notice of Default Judgment and Notice of Hearing to all parties and all other required notices in accordance with the applicable court rules and Michigan Compiled Laws.</li>
<li>Affix the file stamp to documents to prepare them for certification. Submission of orders for case suppression to appropriate Manager or Supervisor.</li>
<li>Maintain docket calendars for scheduling.</li>
<li>Initiate new cases through document sharing, Odyssey, MIFile and email.</li>
<li>Assist the public with MIFile and the document filing system.</li>
<li>Ensure cases are coded correctly based on Prosecuting Attorney Coordinating Counsel (PACC) codes.</li>
<li>Process prisoner mail.</li>
<li>Review cases for accuracy and reject for failing to comply with MCR 1.109.</li>

QUALIFICATIONS
Education/Experience Requirements
<ul>
<li>High school diploma; AND</li>
<li>At least five (5) years of full time clerical experience in a courtroom setting, Corp Counsel or Clerk's office; OR</li>
<li>A Bachelors Degree with one (1) year of full time experience in legal or clerical field</li>
</ul>
NOTE: Equivalent part-time experience in a law firm will be assessed and credited at the discretion of the Department of Personnel/Human Resources.
SPECIAL CONDITIONS Employees will be fingerprinted and must pass a national criminal background check before being placed in this position and periodically thereafter.
TYPES OF ASSESSMENTS A Written Assessment (100%) covering knowledge of English usage, public relations, courtroom procedures, basic legal definitions, court rules, filing procedures, trial and jury selection procedures, and related information. Online virtual testing and testing at the Guardian Building is available.
Candidates must pass all tests in order to be placed on the eligibility list.
In the event that the number of eligible applicants is equal to or less than the number required for certification, the Department of Personnel/Human Resources may substitute for the above tests an evaluation of experience and training or other such tests as the Department may deem desirable to determine the competence of the applicants for appointment.
PURPOSE
The purpose of this examination is to establish an eligibility list from which to fill present and future vacancies. The eligibility list will remain in effect for six (6) months but may be extended.
