Position Summary:
The Business Analyst, Enterprise Correspondence is responsible for supporting the design, governance, and delivery of all customer-facing communications across the organization. This role ensures that both digital and print correspondence are clear, compliant, and aligned with brand standards while enhancing the overall customer experience. The position requires a strong blend of communication skills, operational focus, and awareness of regulatory requirements within the financial services industry.
Essential Duties and Responsibilities:

<li>Support operational correspondence issues by identifying root causes, planning, and implementing resolutions that align with the strategic framework.</li>
<li>Analyze business requirements with staff and leaders and implement effective correspondence solutions.</li>
<li>Provide system support for Shaw Retail, Shaw GUI Collections, Loan Manager, and Defi Servicing, including process flow documentation and vendor/list management.</li>
<li>Assist senior leaders in aligning correspondence initiatives with company goals and regulatory requirements.</li>
<li>Create, review, and maintain customer correspondence templates (letters, emails, statements, notices, media, etc.).</li>
<li>Develop rule logic to define account alerts and trigger automatic letters.</li>
<li>Conduct system audits to ensure correspondence data accuracy and completeness.</li>
<li>Test configuration changes, upgrades, bug fixes, and implementations in test environments; provide solutions or workarounds as needed.</li>
<li>Ensure all communications comply with legal, regulatory, and compliance standards (FINRA, SEC, CFPB, SOX, etc.).</li>
<li>Collaborate with Legal, Compliance, Marketing, and Operations to ensure accuracy, consistency, and continuous improvement of communications.</li>

Correspondence and Operations Analyst – PKH Enterprises is seeking a Correspondence and Operations Analyst to support the Secretary of Defense organization and the Deputy Secretary of Defense decision-making forums for the Organizational and Management Policy Directorate (O&amp;MPD) under the Director of Administration &amp; Management (DA&amp;M). In this role you will provide meeting management, meeting execution, and senior leader stakeholder engagement and coordination. You will work closely with senior leaders at the OSD, Joint Staff and Service level.
Responsibilities:
<ul>
<li>Assign and manage correspondence workflow by serving as the O&amp;MPD liaison with the DA&amp;M front office, other DA&amp;M Directorates, and OSD components.</li>
<li>Review and assign correspondence documents to the appropriate OSD offices and/or personnel for response through the Correspondence and Task Management System (CATMS).</li>
<li>Develop, monitor, update, implement, and maintain an internal suspense tracking system for correspondence, memos, letters and other documents and projects received.</li>
<li>Prepare metrics, weekly action reports of critical suspense data, weekly reconciliation between internal/external program offices of pending/overdue actions, and identify discrepancies to government personnel.</li>
<li>Provide guidance for managing the correspondence of the Secretary and Deputy Secretary of Defense and Executive Secretary of the Department of Defense as well as OSD and DoD Component correspondence in accordance with the official DoD correspondence guidance, "DoD 5110.4-M Vol 1 DoD Manual for Written Material: Correspondence Management and DoD 5110.4-M Vol 2 DoD Manual for Written Material: Examples and Reference Material”.</li>
<li>Assist government personnel with the development of business methods and procedures, including administrative systems, file systems, office systems, process flows, and production schedules to support CATMS.</li>
<li>Create and implement training guides and support training of staff members in the structure and missions of the DA&amp;M, OSD and the Components, CATMS, and proper preparation of signature packages, and using the correspondence guidance and suspense tracking system.</li>
<li>Operational duties related to Organizational and Management DoD briefing resources preparation, Office of Legislative Counsel Green Sheet support assignment and tracking, human resources, IT, security, facilities management:
<ul>
<li>Answering and routing phone calls and greeting/escorting guests,</li>
<li>In-processing new personnel (DD1172; DD2249; DD2875),</li>
<li>Requesting and managing all equipment and furniture inventory,</li>
<li>Suite access, SCIF maintenance, and burn bag destruction,</li>
<li>Resolution of IT and network issues, and</li>
<li>Ordering/maintaining supplies</li>
</ul>

</ul>
Required Qualifications:
<ul>
<li>Active TS/SCI clearance required.</li>
<li>Bachelor's degree.</li>
<li>8 years’ experience providing services to senior general/flag officer ranks and/or SES levels within the DOD, other government agencies, or industry corporate equivalents.</li>
<li>Ability to support a rotating shift coverage schedule with the early shift from 7:00 am – 3:30 pm and later shift from 8:30 am – 5:00 pm.</li>
<li>Experience working correspondence management, task assignment and tracking, or Executive Secretariat-like functions in the U.S. government.</li>
<li>Demonstrated high level of proficiency of the English language, both written and oral.</li>
<li>Demonstrated high proficiency with Microsoft Office, specifically with Microsoft SharePoint.</li>
</ul>
Preferred Qualifications:
<ul>
<li>Prior experience with stakeholder coordination across DoD or other government entities.</li>
<li>Prior experience working in a fast-paced environment as part of a team.</li>
