Under general supervision and procedural control, the Senior Administrative Clerk performs responsible and specialized clerical work. This work includes entering information into computer, preparing reports, correspondence and other documents, making copies, proofreading, maintaining electronic and manual file systems, answering phones, taking messages, routing calls, providing customer service, operating office equipment and assisting with clerical and administrative functions. Employee works with many different records and forms, receives and prepares information for further processing and record keeping. Employee performs specialized departmental functions and customer services. Employee may provide limited administrative assistance to supervisor on some routine duties as assigned, and indirectly oversees office functions as assigned and may relieve supervisor on some routine duties as assigned. Most decisions are guided by existing policies or regulations, but occasionally employee must use own judgment responsibly to the best interest of the department.
Under general direction of the Assistant Director of Airport Administration, the Properties &amp; Compliance Manager is responsible for assisting in the management of aviation facility projects and management of leased properties in the airport, including leases associated with the main terminal building, cargo facility, aircraft ramps, FBOs, and private/corporate hangars. Employee will prepare contracts with vendors, Rental Car Companies and Air Carriers and is responsible for preparing invitations to bid and requests for competitive proposals. Employee is also responsible for day-to-day management of the airport's local, state, and federal compliance programs and will review and monitor the terms and conditions of all lease agreements, contracts, and grant assurances for adherence and compliance. Employee will monitor, through research and performance measures, the day-to-day administration and operations of the airport, and establish trend analysis related to aeronautical revenue, non-aeronautical revenue, concession sales, and passenger activities. Employee will assist in the daily facility project administration, and in preparation and administration of the Department of Aviation's annual budget.

TASK:
 SALES DEPARTMENT: Aftermarket Products – Understands all aftermarket products sold, warranties, usage, etc. Daily Sales appointments – Print next day’s appointments &amp; prep. Also able to complete &amp; understand the process of aftermarket appointments. Delivery Folders - Keep it well stocked (New, Nv’s, Leaf folders) Gas Purchase Orders – Create, close &amp; file Inspection – New &amp; CPO vehicles (making sure it’s up to Nissan Standards) Inventory – Check Books, Keys, Navi Chips &amp; Pdi inventory on a weekly basis. Report any items missing. New &amp; Used Car Delivery folders – process and complete, set aftermarket appointments, log than you letters, pdi &amp; nvdc logged &amp; scanned. Log(Pending) – Update start and end of day (Checking to make sure all books, keys, etc are in CCC) Log(Sales Daily) – Update throughout the day NCAR/NCONN – Make sure that Sales is completing this at time of delivery with the customer PDI – Split, Scan, File (copy to title clerk) RDR Calls - complete tasks in getting in touch with EVERY customer after delivery taking care of all their concerns while educating them about the survey. Red book – Every morning check to make sure all sold vehicle delivery folders are turned in by the sales person Referral Checks – Copy, Log, File &amp; distribute accordingly Sales Deal Folders (Red-New, Green-CPO Used, Blue-Non CPO Used) – Keep it stocked up Scan – Delivery &amp; Deal Folders Stock in New Delivery – Check in inventory against stock in report, file keys &amp; manuals away and report any missing items at time of check in.
 SERVICE DEPARMENT: Cash Drawer – Count cash drawer in the morning &amp; balance in the afternoon Service Calls – handle all incoming service calls, book appointments, confirm appointment at end of conversation with date, time, service advisors and email address. Follow up, No Shows, Retention, Recall, Reminder, Service Contract, &amp; Declined service calls. Shuttle Monitoring – Dispatch, Know where the drivers are and what is going on. Leave no customer behind. Communicate. Scan – Repair orders
 OTHER DUTIES: Coffee, Water, Supplies – Keep it filled and well stock at all times Disinfect &amp; Keep Clean - Front Desk &amp; Showroom all the time (Credit Card machine and counter areas disinfect after each transaction) Filing – Rental agreements, anything that needs to be filed Gas PO’s – Create to authorize personnel, close &amp; send to accounting Office Supplies – Staplers, tape, brochures &amp;copiers – Keep it filled and well stock at all times Opening/Closing Duties – Turn on/off computers log in, Reset Front Camera, Open/close all drawers, Bring out all necessary office tools for daily work load &amp; put them away at the end, Bring out shuttle sign in tablet, etc.
