Job Description

The Medical Receptionist is the first point of contact for patients at Samsara Healthcare. This role sets the tone for the patient experience. We are looking for a welcoming, respectful, organized, and trauma-informed person. The receptionist supports clinical operations by managing front-desk workflow, scheduling, patient communications, and administrative tasks while protecting patient confidentiality and maintaining efficiency.

Front Desk & Patient Experience

  • Greet patients warmly and professionally (in person and by phone)
  • Create a welcoming, non-judgmental environment for mental health patients
  • Manage patient check-in and check-out
  • Verify patient identity, insurance, and consent forms
  • Handle distressed patients calmly and appropriately

Scheduling & Communication

  • Schedule, confirm, and reschedule appointments accurately
  • Manage provider calendars to maximize efficiency
  • Send appointment reminders and follow-ups
  • Communicate clearly with patients regarding policies, forms, and expectations

Administrative Duties

  • Maintain accurate patient records in the EHR (e.g., SimplePractice or similar)
  • Scan, upload, and organize documents
  • Collect copays and process payments
  • Track referrals, authorizations, and intake paperwork
  • Maintain front-office organization and supplies

Insurance & Billing Support

  • Verify insurance eligibility and benefits
  • Enter demographic and insurance information accurately
  • Flag billing or authorization issues for clinical or billing staff
  • Maintain HIPAA compliance at all times

Team Collaboration

  • Communicate effectively with providers and clinical staff
  • Support clinic flow and problem-solve in real time
  • Follow Samsara Healthcare policies, procedures, and values
  • Participate in training and quality-improvement efforts

Required Qualifications

  • High school diploma or equivalent
  • Minimum 1 year experience in a medical or behavioral health setting
  • Strong computer and data-entry skills
  • Professional phone and interpersonal skills
  • Ability to multitask in a fast-paced environment
  • Strict adherence to confidentiality and HIPAA standards

Preferred Qualifications

  • Experience in mental health, psychiatry, or integrated care
  • Bilingual (English/Spanish) strongly preferred
  • Familiarity with EHR systems (SimplePractice preferred)
  • Insurance verification and prior authorization experience
  • Trauma-informed or patient-centered care background

Work Environment

  • Outpatient mental health and integrated care setting
  • Fast-paced with emotionally sensitive interactions
  • Requires professionalism, empathy, and boundaries

This role requires reliability, emotional intelligence, and attention to detail. Mental health experience is strongly preferred.
