Position Summary
The Human Resources &amp; Office Coordinator is responsible for general office coordination, administrative tasks in support of the Human Resources team and maintaining the headquarters reception and overall office space.
 
Office Coordination Responsibilities:
<ul>
<li>Serve as the primary liaison between the corporate office, building property management, and vendors supporting headquarters operations.</li>
<li>Coordinate communication with property management regarding building announcements, scheduling repairs, and coordinating response efforts related to emergencies and natural disasters.</li>
<li>Coordinate contract cleaning vendor for corporate office services.</li>
<li>Coordinate vending machine contracts.​</li>
<li>Coordinate, maintain and order office supplies as needed, print products and order business cards..</li>
<li>Code and process all invoices for supplies for payment from office supply vendors.</li>
<li>Coordinate, order and maintain inventory of print products for corporate office.</li>
<li>Process mail shipments for corporate office as needed.</li>
<li>Receive checks and distribute to the correct department.</li>
<li>Coordinate corporate office meeting spaces and events.</li>
<li>Refresh and maintain breakroom and general office space as needed.</li>

HR Coordination responsibilities: 
<ul>
<li>Create and distribute the HR newsletter to keep employees informed.</li>
<li>Assist with completing and verifying I-9 documentation.</li>
<li>Distribute paychecks in a timely and accurate manner.</li>
<li>While at the reception, respond to employee inquiries and route information to the appropriate HR team member.</li>
<li>Provide support to employees with ADP application setup and troubleshooting.</li>
<li>Contribute to HR projects and initiatives as needed.</li>
<li>Coordinate office setup and order materials for new hires when required.</li>
<li>Prepare and send birthday cards to employees.</li>
<li>Assist coordination of employment verifications through The Work Number system.</li>
<li>Maintain and update the annual and monthly HR and office events calendar (2026).</li>
<li>Generate Human Resources reports monthly and as needed.</li>
<li>Contribute to HR projects and initiatives as needed.</li>
<li>Participate in CAR committee.</li>
<li>Assist with recruiting needs.</li>
<li>Assist with Compliance projects.</li>
<li>Maintain TWAC (time with a client) program.</li>
<li>Maintain the courtesy card program.</li>
<li>Other projects as assigned by supervisor​</li>
</ul>

Minimum Job Qualifications
<ul>
<li>Minimum High School Diploma</li>
<li>Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite.</li>
<li>High level of attention to detail, organizational skills, and ability to multi-task</li>
<li>High degree of integrity and commitment to confidentiality</li>
<li>Knowledge of standard office administrative practices and procedures.</li>
<li>Excellent oral and written communications and comprehension skills are required.</li>

This position will receive an annual performance review from the department heads to discuss
