Job Type: Full-Time | Temp-to-Hire
Schedule: Monday-Friday | 7.5-hour shifts between 8:00 AM and 5:00 PM (8:00-4:00, 8:30-4:30, or 9:00-5:00)Position OverviewOur client, a well-established and respected personal injury law firm, is seeking a highly organized Legal Secretary to provide administrative and case support to its Personal Injury Department. This position plays an important role in supporting attorneys and paralegals while ensuring client files are handled accurately, efficiently, and confidentially.The ideal candidate is detail-oriented, enjoys working in a fast-paced office environment, and has previous administrative experience in a legal, insurance, or medical setting.Responsibilities
- Process incoming mail, faxes, and upload documents into the case management system.
- Open new client files and accurately enter claim information.
- Prepare, print, and mail fee agreements, client correspondence, and other legal documents.
- Request police reports, medical records, billing records, and insurance claim files.
- Scan, organize, and maintain electronic and paper case files.
- Follow up with clients regarding outstanding medical records and documentation.
- Process vendor payments accurately and timely.
- Provide reception coverage as needed.
- Maintain confidentiality while handling sensitive legal information.
- Support attorneys and paralegals with daily administrative and case management tasks.
Qualifications
- Associate degree or equivalent work experience preferred.
- Previous administrative experience required.
- Experience in a law firm, insurance claims, medical billing, or healthcare administration is highly preferred.
- Strong organizational skills and exceptional attention to detail.
- Ability to prioritize multiple tasks and meet deadlines.
- Proficient in Microsoft Office and Adobe Acrobat.
- Excellent communication and customer service skills.
- Ability to maintain confidentiality and professionalism.
- Experience with legal case management software (such as NEOS) is a plus.
Physical Requirements
- Primarily office-based position.
- Frequent computer, scanning, and filing work.
- Ability to lift files or boxes up to 30 pounds.
- Ability to sit or stand for extended periods throughout the workday.
