Job Description

Our client is seeking an Executive Coordinator to provide high-level administrative support to executive leadership. This individual will serve as a trusted partner to management, ensuring daily operations run efficiently while managing complex schedules, communications, and special projects.

Key Responsibilities

  • Coordinate and manage executive calendars, meetings, and travel arrangements to optimize leadership productivity.
  • Prepare professional correspondence, reports, presentations, and meeting materials with a high degree of accuracy and confidentiality.
  • Act as a key point of contact between executives, internal departments, and external stakeholders.
  • Organize and facilitate meetings, including agenda preparation, note-taking, and follow-up on action items.
  • Monitor and prioritize incoming communications, ensuring timely responses and appropriate escalation when necessary.
  • Assist with special projects, research initiatives, and administrative processes that support organizational objectives.
  • Maintain confidential records, documents, and executive files while ensuring compliance with company standards.
  • Support event planning, executive functions, and other business-related activities as needed.
  • Identify opportunities to improve administrative workflows and implement efficiencies across executive support functions.

Qualifications

  • Bachelor's degree preferred; equivalent professional experience will also be considered.
  • 5+ years of experience supporting senior executives, leadership teams, or C-suite professionals.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Proven ability to manage multiple priorities, deadlines, and confidential information.
  • Strong organizational, problem-solving, and decision-making abilities.
  • Ability to work independently while maintaining a collaborative approach with team members and stakeholders.
