Medical Secretary / Administrative Assistant – Psychiatry Practice
Location: Kalamazoo, Michigan
Position Type: Full-Time
Hours: Monday–Friday, daytime hours
About Us
Established outpatient psychiatry practice in Kalamazoo seeking a dependable, organized, and patient-focused Medical Secretary/Administrative Assistant to join our team. The ideal candidate will have medical office experience and familiarity with insurance billing, prior authorizations, and patient scheduling.
Responsibilities
- Answer and manage incoming phone calls professionally
- Schedule and confirm patient appointments
- Check patients in and out
- Verify insurance eligibility and benefits
- Process prior authorizations for medications and services
- Assist with medical billing and claim follow-up
- Maintain accurate patient records in the electronic medical record (EMR) system
- Manage patient messages and communications
- Collect copayments and balances
- Perform general administrative and office support duties
Qualifications
- High school diploma or equivalent required
- Previous experience in a medical office preferred
- Experience with psychiatry, behavioral health, or mental health practices is a plus
- Knowledge of insurance billing, claim submission, and prior authorizations preferred
- Strong computer skills and ability to learn office software and EMR systems
- Excellent communication and customer service skills
- Ability to multitask and maintain confidentiality
- Reliable, professional, and detail-oriented
Preferred Experience
- Medical billing and coding
- Insurance verification
- Prior authorization processing
- EMR experience (RxNT experience is a plus)
- Medicare, Medicaid, Blue Cross Blue Shield, and commercial insurance experience
