Job Summary:
As an Integrated Care Plan Program Coordinator, you will provide administrative support and assistance to the health insurance team, Integrated Care Management team, and the Clinical Oversight team. You will manage completed Health Risk Assessment (HRA) forms among the ICM team members responsible for completing Care Plans.
 
Duties and Responsibilities:

<li>Support data entry by entering Health Risks Assessments (HRA) received by mail into GlobalForms and update in other systems and applications, including CareStat Database, PSICapture (an advanced document capture software), and MHK.</li>

This includes but is not limited to: running retreat rosters, coordinating dietary reports, special accommodations, pre-arrival waivers, supporting registration inquiries and process, scholarships, and cancellations.</li>
<li>Ensures retreat registration runs smoothly and optimally to support in filling retreats and matching guests needs to join retreats.</li>
<li>Helps sell retreats, recommend options, and ensure retreat capacity goals are met.&nbsp;</li>
<li>Responds to guest questions about programs and registrations, in person or by phone/email.</li>
<li>Sets up all registrations and comms for each retreat in the planning process for the website, supports and gives feedback to landing pages and copy.</li>
<li>Contributes to feedback for website and improvements based on guest comms.</li>
<li>Runs regular reporting (per retreat and monthly) to ensure teams are well informed on key performance indicators of registration, how the year is going in general and specifically (e.g. cancellations, scholarships, and donations).</li>
</ul>
Communications: &nbsp;
<ul>
<li>Manages all communications to guests pre-arrival/post-departure over email, phone and text, as well as all necessary in person communications during retreats.</li>
<li>Coordinates and communicates with the operations team for all preparatory guest needs, requests and special arrangements: kitchen, housekeeping, facilities.</li>
<li>Coordinates closely with the programs team to understand rental group needs and shares guest reports as needed.</li>
</ul>
Guest Experience:
<ul>
<li>Tracks all elements of the guest experience (from online registration, to guest parking support and room check-in/out) and ensures each step is inclusive and accessible.</li>
<li>Considers continual improvements of the communication and processes of guests, including the website, communications, copy, and team coordination flow.&nbsp;</li>
<li>Evaluates guest experience via surveys post-retreat; presents responses to team and are responsible for guest follow-up as required.</li>
<li>Ensures every guest feels welcomed, and continuously improves the guest experience.&nbsp;</li>
<li>Provides regular reports to the team on guest evaluations, feedback, and common issues.&nbsp;</li>
</ul>
Admin: &nbsp;
<ul>
<li>Tracks and regularly reports to the team items related to registration (registration targets met, cancellations, scholarships, anything noteworthy).</li>
<li>Tracks guest satisfaction via surveys and reports to the team.</li>
<li>Reports on past and forecasted retreats and shares with the team regularly (weekly, monthly, quarterly) on guest expectations.</li>
</ul>
Role Requirements:
<ul>
<li>5+ years of experience in hospitality / guest services</li>
<li>Strong skills in working with computers and software registration systems, including proficiency in Google / Microsoft Office Suite</li>
<li>Professional communication skills—in person and online, verbal and written</li>
<li>Calm response in busy situations, effective in conflict management and decision-making</li>
<li>Proactive by nature, detail-oriented and good at anticipating needs in various situations</li>
<li>Very strong organizational, administration and time management skills</li>
<li>Ability to work in a collaborative team environment</li>
<li>Positive approach to supervision of others and relationship building</li>
<li>A sincere interest in supporting guests in an inclusive and equitable environment for all</li>
<li>Service-oriented and a proactive problem solver</li>
<li>Completes tasks thoroughly and with excellence&nbsp;</li>
<li>Works primarily remotely with estimated 25% on campus from staff office</li>
<li>Flexible work schedule: typically 5 days a week, but will vary depending on retreats. Must be able to work weekends and holidays, some overtime, and some evenings.</li>

Preferred Skills and Experience:
<ul>
<li>Retreat Guru or other registration software</li>
<li>Ability to speak a second language is a plus</li>
<li>Experience with health, safety, and emergency management issues</li>
<li>Experience with working in remote environments and/or retreat center environments</li>
<li>Experience managing events during COVID-19 and navigating safety protocols</li>
</ul>
