Status:

  • Full-time (40 hours per week)

Primary Function:

  • Under minimal supervision, oversees all phases of research grants and contract administration for sponsored research projects (i.e. federal NIH/DOD grant awards, industry clinical trials, foundational grants, etc.).

Essential Duties and Responsibilities:

  1. Facilitates management of pre- and post-award activities, including budget preparation, establishing research accounts, tracking monthly expenditures, and adherence to agency sponsored expense guidelines.
  2. Works with department leadership and Principal Investigators to assess and recommend changes in the structure and functioning of research programs, as needed.
  3. In conjunction with Principal Investigators and Director of Research, develops pre-award proposal materials such as budgets justifications, subcontractor budgets, and scopes of work.
  4. Collaborates with legal counsel in the creation of subcontract/sponsored project agreements as well as negotiates Facilities and Administration/fringe rates for sponsored research projects on an annual basis.
  5. Assists Principal Investigators and Project Managers in preparing annual progress and expenditure reports requested by sponsor organizations, including securing approval and obtaining Institutional signatures for reports, in order to support continuation of funding.
  6. Develops and maintains expertise on state, federal, and organizational regulations and guidelines relating to sponsored research projects/programs.
  7. Makes recommendations on policy issues to maintain compliance with federal, state, and local government regulations.
  8. Utilizes hospital financial systems and financial reports to monitor monthly grant expenses and ensure compliance with sponsor/donor regulations.
  9. Prepares and presents reports on actual versus budgeted financial information during site visits and external audits.
  10. Provides information and analysis for long-range financial and cash flow forecasting, projects data trends in spending, provides analysis to determine the best use of funds from sponsored awards.
  11. Monitors budget to actual spending activity and prepares monthly variance reports for Principal Investigators.
  12. Supervises departmental administration of effort reporting as and ensures quality of work product.
  13. Performs additional tasks relating to sponsored awards as requested.

Educational requirements:

  • Bachelor’s degree in finance or accounting. MBA in Finance or equivalent preferred.

Experience:

  • 5 to 7 years pre- and post-award grants administration experience required
  • Strong financial, accounting, analytical skills, and ability to manage all phases of the grant cycle
  • Ability to work independently, handle multiple priorities and simultaneous time deadlines
