Job Summary

We're seeking a detail-oriented and proactive Office Manager to join our dynamic team. In this pivotal role, you'll serve as the first point of contact for our valued clients, streamline daily operations, and ensure our scheduling, payments, and inventory run like clockwork. Key Responsibilities

  • Customer Service Excellence: Handle incoming phone calls and emails with professionalism and empathy, addressing client inquiries, scheduling appointments, and resolving issues to maintain our 5-star reputation.
  • Scheduling Mastery: Utilize our scheduling software to coordinate cleaning crews, manage calendars, and optimize routes for efficiency and on-time service delivery.
  • Payment Processing: Accurately process credit card payments, reconcile transactions, and maintain secure financial records to support seamless billing operations.
  • Inventory Management: Monitor and reorder cleaning supplies, track stock levels, and collaborate with vendors to ensure we're always fully equipped without waste.
  • Administrative Support: Assist with general office tasks, including filing, data entry, and reporting to keep our operations humming smoothly.
  • Team Collaboration: Communicate effectively with cleaning technicians and leadership to relay client feedback and operational updates.

Qualifications

  • Experience: 2+ years in an administrative, customer service, or office management role; experience in the service industry (e.g., cleaning, hospitality) is a plus.
  • Skills: Proficient in office software (e.g., Microsoft Office, Google Workspace) and quick to learn our scheduling platform. Strong organizational skills, attention to detail, and basic knowledge of payment processing systems (e.g., Square).
  • Personal Attributes: Excellent communication (verbal and written), problem-solving mindset, and a positive, can-do attitude. Ability to handle multiple priorities in a small-team setting.
  • Education: High school diploma required; associate's or bachelor's degree in business administration preferred.
