Job DescriptionWe are seeking a Sales Coordinator to support the daily operations of our Sales and Marketing teams. Reporting to the Sales Operations Manager, with additional responsibilities to the VP of Business Development and the Marketing Manager, this role is vital in ensuring smooth coordination, organization, and efficiency across both departments.
Key Responsibilities:
- Provide administrative support for Sales and Marketing leadership
- Scheduling meetings, preparing presentation materials, taking minutes, and coordinating catering or reservations.
- Creating and managing documents and spreadsheets.
- Handling emails and phone inquiries efficiently.
- Conducting research and data collection as needed.
- Manage license applications, renewals, and tracking for Sales and Marketing.
- Assist in preparing and coordinating bid submissions.
- Oversee conference room scheduling, readiness, and supply management.
- Organize and maintain shared drives and directories for dealer partners, vendors, and internal teams.
- Maintain and update data management systems to ensure accuracy.
- Welcome guests and provide administrative support for meetings and events.
- Handle sensitive information with discretion, ensuring compliance with privacy and confidentiality policies.
Qualifications & Experience:
- High School Diploma or equivalent; administrative support experience in manufacturing, sales, or office environments preferred.
- Strong knowledge of standard administrative procedures and operational support methods.
- 3-5 years of experience using Google Suite or Microsoft Office.
- Bilingual Spanish preferred.
- Experience with Syteline (preferred but not required).
- Excellent time management, multitasking, and prioritization skills.
- Strong communication skills with attention to accuracy and detail.
- Reliable, punctual, and able to maintain confidentiality.
