Position Title: Admissions Representative
Location: Northridge, CA
Setting: Residential & Outpatient Treatment Facility
Schedule: Full-Time, 8-Hour Shifts
Pay Range: $70,000 – $85,000 annually (depending on experience)


Position Summary

The Admissions Representative serves as the first point of contact for individuals and families seeking treatment services. This role is responsible for guiding prospective clients through the intake and admissions process with professionalism, empathy, and efficiency. The ideal candidate possesses strong communication skills, a solid understanding of behavioral health and substance use treatment, and the ability to manage multiple priorities in a fast-paced environment.


Typical Duties and Responsibilities

  • Serve as the initial point of contact for clients, families, and referral sources, providing compassionate and informed support throughout the admissions process.
  • Conduct pre-admission assessments and screenings to determine program eligibility and appropriate level of care.
  • Verify insurance benefits, obtain authorizations, and coordinate with utilization review staff as needed.
  • Collaborate with clinical and medical teams to ensure smooth and timely admissions.
  • Maintain accurate and confidential documentation in the electronic medical record (EMR) system.
  • Coordinate client transportation and logistics prior to arrival.
  • Follow up with prospective clients, families, and referral partners to ensure all required documentation is received.
  • Maintain ongoing communication with referral sources, case managers, and treatment professionals to strengthen relationships and promote facility services.
  • Support daily census goals and contribute to the overall success of the admissions department.
  • Ensure compliance with facility policies, HIPAA regulations, and DHCS/Joint Commission standards.
  • Participate in team meetings, trainings, and departmental initiatives to enhance the client experience and streamline admissions operations.


Qualifications

  • Bachelor’s degree in psychology, social work, communications, or related field preferred (or equivalent experience).
  • 2+ years of experience in behavioral health admissions, call center, or intake coordination (detox/residential setting preferred).
  • Knowledge of insurance verification, utilization review processes, and levels of care within the substance use/mental health field.
  • Strong interpersonal and customer service skills with the ability to connect with clients in crisis.
  • Excellent organizational, time-management, and documentation abilities.
  • Proficiency in Microsoft Office and EMR systems (e.g., KIPU) preferred.
  • Ability to maintain composure and professionalism in high-stress or emotionally charged situations.
