POSITION REPORTS TO: General Manager & Director of Sales and Marketing

CURRENT JOB TITLE: Private Event Coordinator

A. POSITION SUMMARY:

To arrange, organize and execute Private Event services duties for New England Brewing Co. To oversee events in the brewery spaces and maintain communication with customers and the leadership team

B. ESSENTIAL FUNCTIONS:

  1. Passion for Craft beer – passion for customer service!
  2. Be responsible for beer knowledge for customers looking to book events with us
  3. Attend Manager meetings weekly.
  4. Maintain detailed documents for each event
  5. Book and oversee all private events hosted at the brewery
  6. Communicate with the warehouse manager for all event needs and set ups
  7. Collaborate on updating Event procedure guidelines
  8. Work with Food Truck Coordinator as needed for events
  9. Manage company private event calendar (whse/taproom) to ensure seamless event execution
  10. Provide input on deciding hours for event space
  11. Work with Director of marketing to create marketing communications to generate more usage of the event space
  12. Assist Sales Department with planning and overseeing distributor/account visits
  13. Ensure compliance with state and local regulatory requirements
  14. Maintain and analyze event budget and revenue spreadsheet,
  15. Assist with larger in-house events ie.. Wonktoberfest, She-Shines, Holiday Market, Ugly Sweater
  16. Assist as needed with tasting room decorations seasonally
  17. Maintain positive behavior
  18. Maintain NEBCo’s “open door policy”
  19. Maintain/Clean Event Cooler as needed
  20. Maintain/Clean Warehouse after all events
  21. Maintain order list weekly for any supplies needed for events
  22. Collaborate with Warehouse manager on room set ups
  23. Collaborate with brewers on beer descriptions, quality assurance, keg needs for each event
  24. Be the point of contact for the brewery on weekends/evenings for events booked

C. ADDITIONAL FUNCTIONS OR RESPONSIBILITIES:

  1. Develop and build strong relationships with brewery and warehouse personnel including management.
  2. Submit all ideas for bettering the operations to maximize efficiency

D. PERFORMANCE STANDARDS:

  1. Maintain positive attitude and communicate well with all departments in the brewery
  2. Submit paperwork in a timely fashion:
    1. event recap: due end of business day each Monday following events on the weekend.
  1. Complete all tasks in a professional manner within established time frames.
  2. Ensure 100% follow-up.

E. COMMUNICATION RESPONSIBILITY:

  1. Position analyzes and documents situations, suggests solutions and then consults with supervisor for final decision.
  2. Communicates positive or negative feedback regarding events in a timely manner
  3. Actively listens and remains open to suggestions
  4. Understands when direct 1:1 communication is needed vs email / text exchanges
  5. Provides clear and timely written communication
  6. Communicates effectively within the brewery
  7. Responds to all voicemails & emails within 24 business hours
