The Administrative Clerk for Aftermarket will perform a wide range of administrative and office support activities for the Aftermarket services department and/or manager to facilitate the efficient operation of the service department.
RESPONSIBILITIES
- General administrative duties to include answering phones, filing, copying, faxing, mailings, and data entry.
- Answer phones and assist customers with non-technical requests.
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
- Collect, organize, and check all billing workups for all service visits to be submitted to the Service Manager for approval.
- Compile billing packet and submit to accounting.
- Review, adjust and approve technician’s travel expense reports in Concur.
- Maintain service schedule related to recent sales releases.
- Enter parts warranty orders for the service department and work with production control, purchasing and shipping to expedite the order through the system.
- Process warranty orders and RMAs for the service department.
- Enter PO requisitions for LMC Service and subcontractors.
- Manage service technician trip reports to include tracking numbers, timesheets and expense reports.
- Follow up with customers after installation/service and provide feedback to management as needed for billing and collections purposes.
- Assist with International Travel Requirements (Visas) and travel arrangements.
- Schedule and coordinate meetings, appointments, and travel arrangements for the Service Manager.
QUALIFICATIONS
- Experience in clerical and administrative procedures and systems such as filing and record keeping, preferably in a parts sales or service environment.
- Knowledge of principles and practices of basic office management
- Computer skills and knowledge of relevant software, preferably using an ERP system with inventory, shipping, and billing as well as proficiency in Microsoft Suite.
- Effective communication skills, both written and verbal as well as ability to build relationships with co-workers and customers.
