Open Door Church in Burleson, Texas, is looking for a highly organized and detail-oriented Administrative Assistant to support our ministry operations. This role offers a unique opportunity to work closely with our worship team, helping to coordinate schedules, manage communications, and assist with the administrative needs that keep our worship ministry running smoothly. We are seeking a detail-oriented and proactive Administrative Assistant to support our team with a variety of operational and organizational tasks. This role is essential in ensuring smooth day-to-day functions and assisting with event coordination, financial tracking, and team support.

Key Responsibilities

  • Process and manage expense reports, ensuring accuracy and timely submission.
  • Maintain and replenish supplies in designated areas, including the worship lounge.
  • Restore and organize the worship lounge to maintain a welcoming environment.
  • Upload and track credit card receipts for financial documentation.
  • Generate and distribute invoices as needed.
  • Assist with preparations for after school create arts classes, ensuring all logistical needs are met.
  • Track attendance and maintain accurate records for team activities.
  • Coordinate meal orders for the worship team, considering dietary preferences and schedules.
  • Support setup and teardown for REIGN events, ensuring smooth execution.
  • Collaborate with team members to organize event logistics, including setup, childcare arrangements, and registration processes.
  • General Administrative Duties:
  • Organize and schedule appointments, meetings, and events.
  • Prepare and distribute correspondence, memos, and reports.
  • Order office supplies and research new vendors for cost-effective solutions.
  • Assist with travel arrangements, including booking flights, accommodations, and transportation.
  • Provide general support to visitors and act as a point of contact for internal and external inquiries.
  • Coordinate with executive and senior administrative assistants to handle requests from leadership.

Qualifications

  • Strong organizational skills with attention to detail.
  • Ability to multitask and manage time effectively.
  • Excellent communication and coordination abilities.
  • Proficiency in basic financial tracking and documentation.
  • Experience in event planning or administrative support is a plus.
  • Familiarity with office management systems and procedures.
