We are seeking a highly organized Executive Assistant to support the Chair of Anesthesiology. This key role offers exposure to departmental leadership, coordination of strategic priorities, and opportunities for professional growth within a leading academic medical center.
Key Responsibilities
- Provide strategic administrative support to the Department Chair, ensuring follow-through on priorities and proactive handling of confidential matters.
- Act as a liaison and representative of the Chair in professional settings and correspondence.
- Manage complex calendars and high-level meetings, ensuring timely preparation of agendas, materials, and follow-up actions.
- Coordinate logistics and provide onsite support for internal and external meetings.
- Record and distribute meeting notes or action summaries as needed.
- Serve as the first point of contact for the Chair’s office, engaging professionally with faculty, staff, hospital leadership, and external guests.
- Demonstrate a polished, service-oriented approach in all interactions.
- Maintain accurate records, manage departmental files, and support administrative workflows to ensure smooth daily operations.
- Coordinate reimbursements, credentialing submissions, and internal processes efficiently and accurately.
- Track and compile departmental data, support assessments, and assist in the creation of reports and presentations.
Required Qualifications
- Associate or Bachelor’s degree in business administration, Finance, Healthcare Administration, or a related field.
- Ideal 1-5 years of experience supporting senior-level executives in a healthcare, academic, or corporate setting.
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint and video conferencing tools such as Zoom and Microsoft Teams.
- Strong judgment, discretion, and ability to maintain confidentiality.
- Impeccable attention to detail, follow-through, and time management.
- Clear, professional written and verbal communication skills.
- Demonstrated ability to stay composed and effective in high-pressure situations.
Preferred Qualifications
- Experience in academic medicine, healthcare administration, or large institutional settings.
- Familiarity with hospital or academic operations (e.g., reimbursement, credentialing, HR systems).
- Team-oriented mindset and a commitment to excellence and service.
