Summary
The Receptionist will serve as the first point of contact for office visitors. The Receptionist is primarily responsible for greeting guests, notifying staff of visitors, answering the front desk phone, ensuring an accurate record of visitors, and supporting the Haliburton team with general administrative tasks.
Essential Duties & Job Responsibilities
- Answer, screen, and transfer incoming phone calls in a professional, friendly manner and according to Standard Operating Procedure. Takes and delivers messages when necessary
- Serve as the front desk attendant responsible for greeting guests, helping them register/sign-in for their visit, issuing confidentiality agreements as needed, and maintaining an accurate record of visitors
- Check voice mail messages on the general mailbox and transfer accordingly
- Sort and distribute incoming mail with urgency
- Sends receives and distributes faxes
- Sort and post outgoing mail including but not limited to, Customer invoices and Supplier payments, place outgoing email at the mailbox
- Prepare packages for overnight shipping as needed
- Store and distribute general office and kitchen supplies
- Maintain office supply inventory and request replenishment be ordered from Purchasing as needed
- Assist all departments as needed with various administrative tasks such as copying, faxing, scanning, etc.
- Coordinate lunch coverage and maintain a calendar for distribution
- Present self in a professional manner at all times
- Other administrative tasks as needed
- Follow GMP rules and safety rules
- Good attendance is required
Minimum Qualification Requirements
Education & Experience
- High School Diploma or equivalent required
- Minimum of one (4) years of prior experience as a Receptionist, Administrative Assistant, or related field in a high-volume setting
- Excellent customer service and office administrative skills
- Excellent computer skills, including proficiency in Word, Excel, PowerPoint, and Outlook
- Be able to work independently and multitask when needed
- Excellent communication skills including interpersonal, verbal, and written
- Having a proactive and positive attitude.
- Demonstrates high-level customer service skills
- Demonstrate full knowledge of Good Manufacturing Practices policies and procedures
