We are seeking a Document Control Clerk to join our team. For this Permanent, Part-time position, you'll be responsible for efficiently managing and organizing case-related documents to ensure seamless workflow and accurate record-keeping. Daily tasks include reviewing, naming, and saving faxes and NYCEF documents, scanning and naming incoming paper mail, and posting pertinent information into Filevine, our case management system. This role also involves handling outgoing mail, moving email attachments into Filevine, and assigning tasks resulting from received correspondence.

Work Schedule: Mon-Fri 12:30pm to 5:30pm

Responsibilities
- Manage incoming documents (faxes, mail, and NYCEF docs) by reviewing, naming, saving, and posting to Filevine.
- Handle outgoing mail and ensure proper documentation.
- Process email attachments and update Filevine with pertinent information.
- Assign tasks and follow-ups based on received correspondence.
- Merge chronologies with payment ledgers for case tracking.
- Contact clients for medical records and interviews as needed.
- Draft and send General Counsel (GC) emails.
Requirements
- Education & Experience: High school diploma or equivalent required. Prior experience in a legal or administrative role is a plus.
- Technical Proficiency: Familiarity with case management systems (e.g., Filevine), email platforms, and document management software.
- Attention to Detail: Accuracy in naming, saving, and organizing legal documents and correspondence.
- Communication Skills: Ability to professionally interact with clients, attorneys, and other staff via phone, email, and in person.
- Time Management & Organization: Ability to handle multiple tasks, prioritize efficiently, and meet deadlines.
- Confidentiality & Professionalism: Understanding of legal ethics and the importance of handling sensitive client information securely.
