Customer Service Representative (Billing & Logistics)

Oakland, CA

CitiStaff is seeking a reliable and detail-oriented Customer Service Representative with experience in billing, logistics coordination, and customer support. The ideal candidate will handle customer inquiries, billing functions, container tracking, and daily operational support while maintaining accuracy and professionalism.

Key Responsibilities

  • Respond promptly and professionally to all customer inquiries via phone and email
  • Handle billing-related tasks, including invoice review, billing verification, dispute resolution, and coordination with accounting
  • Verify gate fees and billing charges are cleared prior to container pickup
  • Check Oakland terminal systems for drayage availability
  • Track and trace containers; update ETAs accurately in internal systems
  • Coordinate with terminals regarding container issues, holds, or delays
  • Create and manage pickup appointments for import loads and empty returns
  • Understand customs procedures related to bonded warehouses and ensure documentation compliance for import, storage, and export
  • Answer customer questions regarding drayage availability, billing status, and deliveries in progress
  • Perform accurate data entry using Excel spreadsheets and internal systems
  • Prepare and distribute daily operational and billing reports for customers
  • Work closely with the brokerage division and CGT team to assign and update daily workloads
  • Assist with additional administrative and customer service duties as assigned

Required Skills & Qualifications

  • Previous customer service experience, preferably in logistics, transportation, or billing
  • Billing and invoicing experience with strong attention to detail
  • Basic understanding of clerical and administrative procedures
  • Proficiency in Microsoft Excel and data entry
  • Strong written and verbal communication skills
  • Excellent organizational, time management, and multitasking abilities
  • Ability to troubleshoot issues and resolve customer concerns efficiently
  • Dependable, self-motivated, and a collaborative team player
  • Advanced 10-key typing skills
  • Ability to follow instructions and perform essential job duties reliably
