Weibel Scientific is seeking a motivated, organized and office professional with legal and business operational focus in the role as Legal & Operations Coordinator to work closely with our US Business Operations Manager and Director of Contracts in the business administration office for Weibel goods and services - instrumentation and surveillance radar assembly, spares, repairs, and training activities in North America.

Weibel is the leading developer of Doppler radar systems for customers in over 45 countries. As a company, with manufacturing headquarters in Denmark and administration and maintenance facilities in the United States, Weibel has experienced growth in demand of its specialized products in the United States since its first contract with the U.S. Department of Defense in the late 1980s. OVERVIEW

Position: Legal & Operations Coordinator

Direct superior(s): Business Operations Manager
Function: Specialist

Organizational Level: Level 3

Department: Weibel US (in support of Reston, VA office)

Weekly working time: Full time

Managerial responsibilities: None

MAJOR TASKS AND RESPONSIBILITIES

Responsible for assisting leadership team in day-to-day office business support operations, clerical and legal administration duties, and special research project work when needed, in support of radar product sales and delivery to customers.

Tasks and processes (not prioritized)

  • Customer Relationship Management System and/or tasking entry
  • Creating forms and templates for standardization
  • Maintaining e-filing and legal systems
  • Documenting & recordkeeping processes and procedures
  • Answering phones as needed (internal and external customers, suppliers)
  • Scheduling appointments / meetings
  • Preparing memos, drafting/editing planning documents
  • Handling mail as needed (scanning, emailing, filing)
  • Preparing legal documents
  • Referencing regulatory research libraries
  • Expense reporting
  • Other ad hoc tasks as required

  • Planning and prioritization of assigned tasks
  • This position will require a high level of self-drive and daily on-demand decisions re daily operations, customer case handling, assistance with determining and/or developing new helpful tools to streamline processes and procedures for time-savings and efficiency.

COMPETENCIES (prerequisites for having success in the employment; skills, experience and attitudes)

Education:

  • Technical and/or commercial education at bachelor level – or equivalent professional and educational experience combined

Trade/technical competencies and experience:

  • Market & Industry Knowledge: Experience working with government contracting, radar/defense/aerospace or high-tech commercial product technology a bonus, not required
  • Strong written and oral language skills
  • Computer / Microsoft 365 skills

  • Familiarity with legal protocol
