Job DescriptionJob Title: Administrative Assistant – Sales Support

Job Summary:

We are seeking a highly organized and motivated Administrative Assistant to support our sales team in the fast-paced junk removal and dumpster rental industry. The ideal candidate will handle day-to-day administrative tasks, assist with sales coordination, and ensure a smooth customer experience from initial inquiry to service completion.

Key Responsibilities:

  • Sales Support:
    • Respond to customer inquiries via phone, email, and online platforms (Google, Facebook, website leads).
    • Prepare and send estimates, service proposals, and invoices.
    • Follow up on pending quotes and leads to help close sales.
    • Maintain accurate sales records and customer data in CRM systems (e.g., HubSpot, Workiz).
  • Administrative Duties:
    • Schedule junk removal jobs and dumpster deliveries/pickups efficiently.
    • Coordinate daily schedules for drivers and field crews.
    • Prepare and organize required job documentation.
    • Handle customer billing, payment processing, and account reconciliations.
    • Order office and field supplies as needed.
  • Customer Service:
    • Provide outstanding customer service by addressing concerns and resolving issues promptly.
    • Collect and process customer feedback to improve services.
    • Manage online reviews and help maintain a positive online presence.
  • Marketing Assistance:
    • Support marketing initiatives such as email campaigns, social media updates, and promotional material preparation.
    • Track and report on lead sources and marketing effectiveness.

Qualifications:

  • Previous experience in administrative support, sales coordination, or customer service (experience in waste management or service-based industries is a plus).
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and CRM software.
  • Ability to work independently and in a team environment.
  • High attention to detail and accuracy.
  • Bilingual abilities are a plus.
