Job Summary:
We are seeking a highly organized and motivated Administrative Assistant to support our sales team in the fast-paced junk removal and dumpster rental industry. The ideal candidate will handle day-to-day administrative tasks, assist with sales coordination, and ensure a smooth customer experience from initial inquiry to service completion.
Key Responsibilities:
- Sales Support:
- Respond to customer inquiries via phone, email, and online platforms (Google, Facebook, website leads).
- Prepare and send estimates, service proposals, and invoices.
- Follow up on pending quotes and leads to help close sales.
- Maintain accurate sales records and customer data in CRM systems (e.g., HubSpot, Workiz).
- Administrative Duties:
- Schedule junk removal jobs and dumpster deliveries/pickups efficiently.
- Coordinate daily schedules for drivers and field crews.
- Prepare and organize required job documentation.
- Handle customer billing, payment processing, and account reconciliations.
- Order office and field supplies as needed.
- Customer Service:
- Provide outstanding customer service by addressing concerns and resolving issues promptly.
- Collect and process customer feedback to improve services.
- Manage online reviews and help maintain a positive online presence.
- Marketing Assistance:
- Support marketing initiatives such as email campaigns, social media updates, and promotional material preparation.
- Track and report on lead sources and marketing effectiveness.
Qualifications:
- Previous experience in administrative support, sales coordination, or customer service (experience in waste management or service-based industries is a plus).
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and CRM software.
- Ability to work independently and in a team environment.
- High attention to detail and accuracy.
- Bilingual abilities are a plus.
