Job DescriptionSalary:

Salary: $21 - $26 per hour


The Order Management Specialist will support the Sales team through the customer order life cycle from order management, customer operations, service and logistics, while also providing leadership guidance to the Order Management team. Position will also provide administrative support for projects and initiatives.

Daily Task and Responsibilities

  • Daily communication with Customer(s).
  • Manage the entire order cycle, from creation to delivery
  • Constant communication with customer of schedule changes to align with delivery expectations
  • Review receipts of incoming product and execute order releases to meet customer expectations
  • Monitor back orders and follow up actions required
  • End to End management of returns (RMAs) creation of order, tracking delivery and progress, creating discrepancy report, post credit memos
  • Research customer claims, shortages and/or lost orders
  • Research order delays, follow up with appropriate departments and/or freight carrier
  • File claims with FedEx and or UPS for lost or damaged shipments
  • Responsible for researching undelivered packages, identifying the reason, and providing disposition in a timely manner
  • Prepares and provides customer order reports as required
  • Research non-compliance chargebacks, file disputes if applicable
  • Attends customer conference calls to provide open order or shipment status
  • Maintain accurate order details, and updating system of record accordingly
  • Provide excellent customer service by addressing customer inquiries related to their orders
  • Ensure compliance with company policies and procedures
  • Communication with our internal departments and escalations as needed for urgent product receipts, product put away and product releases
  • Performs other related duties as assigned by management

Miscellaneous Duties

  • Assist with absent personnel responsibilities
  • Other duties assigned
  • Follow ISO/TL9000 requirements

Qualifications

  • Bachelors degree is preferred
  • Minimum 5 years customer service experience
  • Minimum 3 years data entry experience
  • Exceptional organizational skills and time management skills to manage multiple orders and ensure timely and accurate delivery of goods including attention to detail
  • Excellent interpersonal skills to work with a variety of stakeholders, from warehouse staff to customers, in order to facilitate the seamless flow of orders
  • Must have working knowledge of Microsoft Office programs; including Word, Excel, etc.
  • Must be able to stay abreast with company policies, products, and services
  • Must be able to maintain confidently of proprietary information
  • Flexible, comfortable in an environment of constant change, adjusts quickly to changing priorities
  • Proven work experience as an Order Management Specialist or similar role in Supply Chain Problem-solving skills to identify and resolve any issues that may arise during the order fulfillment process
  • Strong communication skills to effectively coordinate with customers, suppliers, and internal departments, ensuring clear and accurate information exchange


Position Type and Expected Hours of Work

This is a full-time position that will begin in office. Normal business days are Monday through Friday. Work hours will be assigned in advance.


Work Environment

This job operates in a clerical office setting. This role routinely involves standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Must be able to lift up to 20 pounds.
