General Description
The Administrative Assistant assists engineers with documentation, scheduling, and general administrative tasks to ensure efficient operations. This role supports the engineering team and maintains the department's smooth functioning.
Essential Duties
· Assist engineers with document management, including drafting, formatting, editing, and proofreading technical documents such as reports, development applications, letters, proposals, presentations, etc.
· Organize and maintain engineering files and records, ensuring they are scanned, up-to-date, properly labeled, and easily accessible.
· Schedule and coordinate meetings and some appointments. Order food for luncheon meetings as warranted.
· On occasion attend meetings and meet with clients concerning new and/or existing developments. Convey comments from meetings to project engineer, technicians, and project manager.
· Assist in coordinating and following up with project activities, including tracking project timelines, milestones, and deliverables. This includes relocation jobs with the various utility providers.
· Collaborate with other departments to gather information and data required for engineering projects.
· Handle incoming and outgoing correspondence, including emails, phone calls, and mail, and direct them to the appropriate individuals.
· Receive, save, and route comments from the various entities to the project engineer, technician, inspector, and project manager.
· Ensure necessary permits are submitted and approved for the development.
· Conduct research and gather data as requested by engineers.
· Process development fees for clients.
· Assist with Submittals for Building Permits for Commercial/Residential Projects for numerous Clients.
· Offer notary services for clients when needed.
· Assist in maintaining office supplies and equipment, ensuring adequate stock levels and functionality.
· Always maintain effective communication with the various entities and interpersonal.
· Provide excellent customer service to MHI partners, employees, vendors, and clients.
· Compliance with MHI policies and department procedures.
· Assists and cross-trains between related positions within the department and assists others as needed.
· Perform administrative and other duties as assigned.
Required Education and Experience
· A high school diploma or equivalent is required.
· Associate degree in business administration or related field is preferred.
· At least two (2) years of work experience in a professional work setting is required.
· Valid driver's license and a clean driving record
Required Knowledge, Skills, And Abilities
· Excellent oral, written, and interpersonal communication skills.
· Strong computer skills with knowledge of Microsoft Office, Adobe, and Outlook
· Willing to become familiar with business practices and the company’s goals.
· Ability to prioritize, organize, and complete multiple tasks with attention to detail.
· Exceptional time management, communication, and problem-solving skills
· Ability to maintain confidentiality and sensitive employee information, requiring discretion and adherence to privacy protocols.
